Administrative Assistant 2 + Job Number: 24005 + Functional Area: Administration + Department: Brain & Cognitive Sciences + School Area: Science + Employment Type: Part-time (Hybrid) + Employment Category: Non-Exempt + Visa Sponsorship Available: No + Schedule: 20 hrs/wk. - schedule to be determined Email a Friend Save Save Apply Now Job Description ADMINISTRATIVE ASSISTANT 2, Brain and Cognitive Sciences (part-time, 20 hrs/wk.), to provide diverse administrative and financial support for professors Nancy Kanwisher and Ila Fiete and their research labs. Responsibilities include calendar and email management; coordinating meetings/seminars/special events; responding to inquiries; keeping professors’ CVs, resumes, biosketches, and other administrative documents up-to-date; anticipating and planning for scheduling issues, grant submissions, and meetings; coordinating travel and processing expense vouchers; maintaining lab rosters; gathering, organizing, and uploading materials for lab website and manuals; acting as a resource regarding MIT–related issues; assisting with hiring and onboarding lab personnel; coordinating lab activities and managing its resources and equipment; coordinating salary assignments; managing credit card charges, JVs, and requests for payment; purchasing supplies; managing student letters of recommendation; managing IRB/COUHES protocols; promoting new publications via social media and maintaining publication catalogs; collaborate with and provide backup as needed for other administrative staff; and perform other duties as requested. Job Requirements REQUIRED: high school diploma or its equivalent; three years’ related administrative/office experience; excellent analytical, problem-solving, decision-making, time management, organizational, recordkeeping, communication, interpersonal, and customer service skills; meticulous attention to detail; strong Microsoft Office (Excel, Word) skills; and high-level proficiency with email management software and cloud services (Dropbox). Must be able to prioritize, multitask, execute and follow up on tasks, and meet deadlines despite frequent interruptions; anticipate needs; exercise independent judgment when researching and resolving complex problems; interact effectively with a diverse group of students/faculty/staff/visitors; work as part of a team; maintain confidentiality; and interpret, communicate, and apply policies/procedures. PREFERRED: bachelor’s degree and proficiency with Google Docs, Google Calendar, Adobe Acrobat, and web publishing. Job #24005-5 Schedule to be determined.
