Administrative Assistant to Vice President

Atlanta Technical College (ATC) is seeking highly qualified applicants for its Administrative Assistant to Vice President position in the Operations and Technology division.  This position is located at Atlanta Tech's Main campus just south of Downtown Atlanta.      

 

Under the direct supervision of the Vice President of the Operations and Technology division, the Administrative Assistant to Vice President is responsible for a variety of administrative support functions to assist the vice president of a college.  The Operations and Technology division is seeking a responsible, detail oriented, self-motivated person to work in a small, but very fast-paced and high energy office setting. 

 

Duties and responsibilities include, but may not be limited to, the following:

 

·       Performs and completes variety of tasks and assignments associated with support functions for the Vice President of the Operations and Technology division.

·       Monitors use of and maintains supplies, equipment and/or facilities for the Operations and Technology division.

·       Enters data from forms, records, reports and/or other sources into computer for purposes such as maintaining databases. Uses complex software (e.g., database, spreadsheet, and graphics) as a tool for performing clerical assignments; Completes incidental typing assignments, such as typing routine documents, performing mail merges, and creating labels.

·       Coordinates meetings and management activities.

·       Performs and completes administrative tasks and assignments which may include budget, procurement, contracts, inventory control, personnel, safety, security, records, etc.

·       Directs and supervises clerical interns and/or work study students assigned to the Operations and Technology division.

·       Participates in special projects and committees as directed by the supervisor; and

·       Perform additional duties, as assigned.

·       Skills in customer service, interpersonal relations and serving the public.

·       Skill in the use of computers and job-related software.

·       Skill in basic conflict resolution.

·       Skills in oral and written communication.

·       Knowledge of modern office practices and procedures

·       Ability to operate workroom machinery such as fax machines, copiers, scanners, shredders, etc.

·       Ability to prioritize and schedule tasks to meet deadlines and objectives.

 

 

Minimum Qualifications:

Must possess and demonstrate the following:

•        Bachelor's degree in a related field *AND* One (1) year of work-related experience

 

*OR*

 

•        Associate degree in business administration *AND* Two (2) years of work-related experience

 

Note: Experience may substitute for the degree on a year-for-year basis.

 

 

Preferred Qualifications:

Preference may be given to candidates who, in addition to meeting the minimum requirements, possess and demonstrate the following:

·       Master’s degree or higher from an accredited college or university.

·       Four (4) or more years of related work experience.

·       Ability to multi-task in a high-energy environment.

·       Polished Customer Service and Microsoft experience demonstrated on application.

·       Experience providing clerical and support assistance to Executive level professionals.

·       Knowledge of donor database management system.

·       Experience working in a secondary education office environment.
