Student Health Services… Provides student-centered, medical, counseling and wellness services which are affordable and accessible Utilizes a multidisciplinary and collaborative approach to wellness and health care Provides an environment of inclusion, respect and appreciation of diversity Promotes professional excellence, responsiveness and ethical practice Is committed to the support of the educational, research and service missions of the University Position Summary The Administrative Support/Credentialing Specialist is responsible for: Providing Administrative support to the Student Health Services’ (SHS) Director and Assistant Director, Medical Director, Mental Health & Well-Being Director, and other members of the Management Team. Work ranges from standardized office support assignments to performance of administrative duties involving decision-making and judgment. Manage business functions, such as BAN-FINs, reimbursements and travel. Facilitating the credentialing process for the Medical and Mental Health providers. Providing administrative support for Human Resource functions, such as leave report time keeping and management and overseeing internal personnel files (retention and destruction), as well as position management (recruitment, hiring and onboarding) Provide administrative support to the Student Health Services committees and the HIPAA ONE committee. Manage mail, supply room, supplies and other responsibilities as assigned Minimum Qualifications

Key Responsibility Credentialing Management Essential Tasks Monitor, maintain and update provider credentials files Prepare/finalize/ distribute reports in document management system Monitor Credentialing requirements and deadlines for professional credentialing Ensure timely and accurate initial and ongoing credentialing files for all providers Manage initial and ongoing credentialing progress for medical and counseling professional staff Archive credentialing files of staff upon leaving organization Key Responsibility Human Resources Essential Tasks Provide excellent customer service to all staff, faculty and students and families Maintain organizational charts Assist supervisors as needed with application screening, scheduling phone and on- site interviews, reference checks, etc. Work with new student employees and their supervisors to get time sheets set up, complete required staff training, etc. Set up and maintain recruitment files by position and recruitment period Prepare and maintain confidential departmental personal files Create and maintain system for files/records for Payroll and Confidential Personnel documents. Develop, manage and distribute Leave Balance Reports to appropriate managers Work with supervisors, staff, and students to complete monthly time sheets accurately within established deadlines Review staff time sheets and leave reports for accuracy and completeness monthly prior to time entry Process time and leave records Confirm payroll data input accuracy and correct as needed prior to deadline Assist supervisors as needed to review staff personnel records Assist Business Officer with HR functions (EPAFs, ePosition and eHire) Retain and/or destroy recruitment, employment, personnel, payroll and credentialing records per established guidelines Assist department to prepare and submit hiring proposals and non-selection reasons for all other applicants Work closely with the Business Officer to identify and resolve position discrepancies at least annually and as errors are discovered with positions Work closely with Student workers with Time Leave Entry reports and other questions as needed Serve as HR Liaison back-up and provide timely and accurate information on all HR matters Serve as go to for employees with questions and concerns regarding HR issues Set up new employees to ensure proper university and department procedures are followed and necessary accounts and documents are completed in a timely manner, including credentialing files Manage key requests for new and existing employees Key Responsibility HIPAA Support Essential Tasks Assist HIPAA ONE Committee by attending monthly meetings and producing meeting minutes. Distribute, track and manage Business Associate agreements. File and produce periodic reports for HIPAA ONE Committee. Manage Campus-wide Annual HIPAA Online Training. Work with UNCG ITS on user enrollments. Produce Department Training reports Participate in development of Annual HIPAA training course materials Produce and track breach notifications for covered entities Format and maintain UNCG Standardized HIPAA standards and processes Maintain files of all HIPAA related materials (including Announcements, Minutes, Resource Documents, Breach Documentation, Action Plans, etc.) Key Responsibility Administrative Support and Business Functions Essential Tasks Assisting the Director with office organization, scheduling, planning and coordination of events and projects as needed to meet organizational goals. Assist staff in timely and accurate completion of travel and reimbursement documents Process Departmental TRV-1 documents in a timely and accurate manner for payment purposes. Maintain travel and reimbursement documents in an organized manner, according to departmental and university policy and procedures, including retention and destruction procedures. Communicate with Business Officer regarding reimbursement issues Process BAN-FIN forms and employee reimbursement Maintain meeting minutes for standing SHS Committees, such as Infection Control, Performance Improvement, SHS Management Team, etc. Edit meeting minutes for accuracy and completeness formats/prints/distributes meeting minutes Prepare electronic documents for electronic distribution through document management system as assigned Support AAAHC Policy and Procedures review and revision process.
