Job Description Summary:

This position requires certification as Certified Tumor Registrar or Oncology Data Specialist.
Hybrid scheduling may be an option for this position.

Under the direct supervision of the Executive Director for Kirkland Cancer Center, the Oncology Business Manager is responsible for complying with cancer registry cancer reporting requirements as set forth in Tennessee Cancer Reporting System Act of 1983. Functions falling under the scope of responsibility include coordinating the day-to-day abstracting, case finding, state, and national cancer incidence reporting of the Kirkland Cancer Center / JMCGH. Employee is subject to callback and overtime as required by Kirkland Cancer Center or West Tennessee Healthcare.

ESSENTIAL JOB FUNCTIONS:

Responsible for cancer abstracting and reporting of JMCGH/KCC to state and national registries. Works collaboratively with operational directors to insure the coordinated success of the abstract.Responsible for regular review and monitoring of all abstractors for areas of case completeness, including site/ histology coding, treatment, staging and follow-up.Works with operational directors, clinic managers, coding managers, and other colleagues to accurately deliver market share, epidemiology and quality studies reports.Develops, recommends revisions to, implements, maintains, and monitors policies and procedures for the cancer registry.Ensures the quality of abstracted data by performing random quality checks of data prior to submission to state reporting agency.Creates quality control forms for Physician’s Audit, Reviews Physician’s Audit and make necessary corrections.  Present overall finding to Cancer Committee.   Serves as KCC’s central point of contact for all cancer registry needs    Works with the Information Systems Department regarding upgrades to vendor software to maintain day-to-day operations.  As necessary, participates in review and selection of relevant technology enablers/tools to support KCC cancer registry software.   Works with vendor (Oncology) regarding registry support and issues to ensure full utilization of technology and processes to foster the development of efficient abstracting and reporting within KCC.Maintains entered patient date for current and future use for the COC and Tennessee State Registry of cancer diagnosed/ treated at JMCGH/KCC and entered by the cancer registrars.Attend state/ national conference and watch educational webinars to keep up to date with registry changes. Maintains credentialed status by acquiring the necessary number of continuing educations hours.  Abstract concurrent breast and colon cases for RCRS reporting.Abstract cases with-in 6 months of diagnosis, as needed.Work follow-up cases, as needed.Develop plan for registry to concurrent abstract on all reportable cases.Oversee the identification, resolution, and reporting of missed cases identified by the state yearly.Proactively stays abreast of the continual changes in caner staging, including those established by AJCC and COC; establishes and maintains methods to ensure compliance with federal and state registries. Provides education to registry staff.Communicates effectively with system and hospital departments, healthcare providers, and co-workers, responding to inquiries in a timely fashion.Partners with KCC operational leaders to ensure timely and efficient integration of all patient diagnoses and treatment of cancer, as required.Identifies and corrects edits on state, RCRS and NCDB submissions in patient abstracts.  Identify all analytic and non-analytic cases for JMCGH/KCC.Review outside abstractors’ case list and invoice to ensure completeness.Responsible for updating numbers yearly to Commission on Cancer Multidisciplinary Cancer Case Conference Template-Standard 2.5, Cancer Conference Grid. Monitors ongoing performance to ensure productivity and abstracting accuracy standards are maintained.Submit quarterly numbers for attendance and cancer conference cases presented by medical oncology to KCC Executive Director. Responsible for monitoring and reporting all cancer conference attendanceResponsible for assigning cancer conference coordinators. Utilizes the SSO Live co-path app to run positive path reports and review for reportable cases.  Create spreadsheet for abstractors.Utilizes Discern Reporting Portal to run all patient encounters with cancer or other reportable diagnosis.  Review for reportable cases.  Create spreadsheet for abstractors.Monitors performance, provides training, and coordinates workflow for the operational areas of responsibility, which may include the supervision of employees, independent contractors, and outsourced staff.Provide administrative assistant with monthly registry and conference numbers.Interviews, hires, trains, evaluates performance, maintains schedules, counsels, disciplines, and discharges personnel under direct responsibility.Develops, coordinates, and/or participate in special projects as needed.Performs related responsibilities as required or directed.

JOB SPECIFICATIONS:

EDUCATION:

Bachelors Degree required, Master of Business Administration preferred.

LICENSURE, REGISTRATION, CERTIFICATION:

Registration and certification as a Certified Tumor Registrar or Oncology Data Specialist by the National Cancer Registrar Association (NCRA) or American Health Information Management Association (AHIMA).

EXPERIENCE:

Experience necessary for the certification.Experience working with an accrediated cancer program, preferred.
