Central Scheduler, WCW

POSITION SUMMARY:

Reports to the Manager of the WCW and is responsible for scheduling appointments in the Meditech SCH module for all WCW procedures and services.   Acts as a resource to the physician’s office staff when scheduling and in determining the appropriate test. This position is responsible for the maintenance and requisition of all physician orders, processing release of information functions, and for registration of all WCW accounts.  In addition, copay and self-pay account payments are collected and documented for all appropriate services.   Completes additional clerical duties as necessary for the efficient operations of the WCW.

EDUCATION/CERTIFICATION:

High School Degree required.  Associated Degree preferred.

EXPERIENCE:

Minimum of at least 2 (two) years of related patient scheduling with sufficient knowledge  to coordinate a variety of procedures and exams. Medical Terminology.

COMPETENCIES:

Knowledge of Medical Insurance including CPT and ICD-10 codes. Medical Terminology knowledge. Good understanding of women’s health imaging procedures and integrative medicine services. Must have excellent English written and verbal skills, basic computer and keyboard skills for use of the Meditech system and strong customer service expertise.

Job-Specific Competency

Schedules and coordinates imaging exams and Integrative Medicine services based on provider or patient request or availability, with accuracy regarding all aspects including provider selection, including copies to, available times and resources.  Schedules multiple tests on the same day to accommodate the provider and/or patient as appropriate, assuring the proper sequencing of appointments when necessary and appropriate processing regarding cancellations.  Obtains diagnosis and/or presenting symptoms for appropriate coding, billing and reimbursement. Performs the appropriate procedure when appointment dates are revised to ensure that the orders are corrected and refilled under the corrected date of service and pre-registration has accurate data to complete the process. Informs Physician Office personnel (at time of booking) and/or patients of required protocol prior to testing according to defined protocols. Accurately prepares patient appointment paperwork via Access E-Forms.  Maintains and stores faxed orders correctly in order to allow staff and ancillary departments to view order, and to properly access at time of appointments  Contacts provider’s office and/or patient to ensure accurate orders are on file for all scheduled visits and resolves discrepancies as necessary. Edits accounts appropriately to ensure that correct physician is listed as well as all copy to information is correct and compliant per HIPAA guidelines. Accurately registers patients at the time of service ensuring that all demographic and insurance information is properly recorded to ensure timely and accurate billing of services, including the inclusion of necessary ICD-10 codes for all non-imaging accounts as directed. Collect patient co-payments and any financial responsibility at point of service. Enters charges and posts payments for all Integrative Medicine Services. Able to operate department specific equipment including fax (specifically the fax software currently in use), copier, and printers. Maintains responsibility for general clerical support functions of the department to ensure efficient utilization of time.
