Purpose

The Manager for Apartment Contracts and Assignments oversees the daily operations of the Contract and Assignment Offices for apartment-style housing. This position recruits, manages, trains, and evaluates a team of full-time housing advisors to manage approximately 2,500 beds in apartment-style housing. This position will provide office presence for day-to-day issues that arise. This position would provide additional support and development for housing advisors, increasing efficiency and customer service for the Occupancy Management (OM) area.

Responsibilities

Recruit, hire, train, evaluate, and supervise the housing advisors and student staff. Manage front desk operations and scheduling for 3 Apartment Contracting Offices. Guide the team in problem solving and conflict resolution. Ensure supervised staff are providing excellent customer service and are knowledgeable of UT and University Housing and Dining (UHD) processes and protocols.

Provide exceptional customer service to internal and external customers. Accurately answer housing and dining inquiries from parents, students, and staff. Provide assistance to visitors as needed. Manage escalated issues. Monitor and promptly respond to inquiries via phone and email. Use initiative to resolve concerns independently and in a tactful manner. Serve as the primary contact for elevated concerns and appeals. Oversee the apartment contract appeal process. Create and implement efficiencies that have a positive impact on customer service.

Member of the Occupancy Management leadership team, and provide supervisory support to staff within Occupancy Management. Work on tasks assigned by the Associate Director for OM. Serve as a backup for Outreach Manager housing presentations or tours. Provide support to phone calls and emails coming in for Apartment housing as needed. Perform administrative tasks accurately and efficiently for student entry records via StarRez. Draft and issue student housing verification letters as needed. Assist with mail delivery and payment processing tasks as needed. Provide oversight for maintaining and updating filing system for housing department. Follow appropriate record retention policies and maintain confidentiality.

Liaison with staff to oversee assignments for Services for Students with Disabilities (SSD), Staff Assignments, Supplemental Apartment Housing, Academic MOU housing, and any other special assignment groups. Provide support to Associate Director with various projects as needed. Work independently and as part of a team. Positively represent the Occupancy Management team, Residence Life team, and the UHD department within department and university initiatives. Works as a team member, encourages and promotes a welcoming environment for staff and guests. Other related functions as assigned. 

Required Qualifications

Bachelor's degree

3 years of experience in a supervisory capacity. 

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

3 years experience working in Residence Life, Occupancy Management, Apartment Management, or a related field.

3 years experience working with students in a University or higher education setting.

Experience with staff training and selection processes.

Experience with project management.

Experience working with StarRez.

Experience with Microsoft Office.

Bi-lingual in English and Spanish.

Demonstrated skills in customer service, working with groups, leadership, flexibility, and professionalism.

Salary Range

$63,500 + depending on qualifications

Working Conditions

May work around standard office conditions

Repetitive use of a keyboard at a workstation

Work Shift

Monday - Friday, 8:00AM - 5:00PM. Hours and days may vary to include weekends based on business needs. This position will be required to work on campus.
