Role: Vendor Manager, IT PMO The Vendor Manager establishes and maintains an organization’s relationships with vendors, contractors, and other service providers. They are actively involved in all aspects of vendor management and coordination throughout every stage of the business relationship. The Manager, Vendor Management role is expected to define ad maintain all aspects of Demand Intake, Contract execution, Invoice tracking, Deliverables tracking and Service Level Agreement tracking. This requires close collaboration with Vendor Management as a Service team (VMaaS), Managed Services Provider, Procurement Vendor and BBW executive Leaders. The Vendor Manager ensures that governance forums, framework and processes are clearly defined, adhered to and that issues impacting the relationships and/or contract compliance are addressed timely. This includes Contract Changes, Amendments, Invoice Management and Governance Library processes. This role is responsible and accountable for defining and developing a future Vendor Management function that is self-sufficient and sustainable when transitioning from a VMaaS to an internal Vendor Management Office or a hybrid model in the best interest of BBW. Responsibilities: + Ensures that BBW Technology Leaders evaluate vendor deliverables, assess quality / completeness and accept (or reject) in accordance with applicable Contract Acceptance procedures. + Point of escalation for VMaaS when elevating concerns and resolves issues with Managed Service Provider regarding any unresolvable contract compliance issues. + Governs contribution Library Documents and align with Governance Library usage and controls. + Partners with senior Technology Leaders to validate the portion of the Vendor invoice to confirm that the services were received at the level expected. + Point of escalation to assist VMaaS in error correction, when applicable if Managed Service Provider is unwilling to adjust. + Engages in final approvals and partners with Procurement / Finance to provide necessary information to make pay/short pay/no pay decisions. + Closely and continuously partners with VMaaS and Finance to provide payment and purchase order (PO) information to Managed Service Provider. + Point of escalation for assisting VMaaS in invoice approval. + Owns and governs resolution of issues as close to the source and as quickly as possible to prevent incurring the dispute resolution process, as specified in the Contracts. + Partners with Procurement and BBW Leaders to facilitate negotiations with Vendors, obtaining knowledge of all final decisions and approvals associated with negotiations. + Ensure BBW leaders Receive, review and accept (or reject), via the Governance Tool, Vendor’s aggregated Service Level reports after validation and finalization. + Governs confirmation and approval of continuous improvement obligations outlined in the agreements are met. + Governs approvals, acceptance, and execution of Service Level changes per contract process. + Receive and review Vendor recommendations with BBW Leaders. + Ensures Procurement provides Contract language and/or requests Vendor to provide initial contract language for review. Ensure approvals of all contract language for final execution. + Ensures BBW leaders review and provide final decision on approval of Contract Change Requests. + Partners with VMaaS to develop an aligned process to initiate and evaluate demand for Managed Services provider. + Governs approvals of proposals and estimates based on demand management and budget directives.
