Position Overview:
This is an exciting opportunity to help shape the quality of health care in Florida.
We are seeking to hire an Administrative Secretary who desires to work to enhance the delivery of health care services through the Florida Medicaid Program.
This position requires a candidate who is creative, flexible, innovative, and who will thrive in a fast-paced, team based work environment.
This position is located in the Bureau of Medicaid Program Finance (MPF).
MPF manages and projects Florida’s $33.8 billion Medicaid Services budget, oversees financial reporting of the Agency’s contracted Medicaid health plans, calculates both institutional and non-institutional Medicaid reimbursement rates, and disburses supplemental payments to Medicaid providers.
This position is responsible for tracking information requests, cost reports, and preparing letters and memos for internal and external customers.
Responsibilities of this position include, but are not limited to the following:
- Required to be proficient in word processing for majority of office typing; this includes routine correspondence, as well as charts, forms, mailing lists, reimbursement plans, special projects, etc.
- Maintains a daily schedule of appointments and meetings for the Regulatory Analyst Supervisor of the Nursing Homes Section and coordinates staff participation.
- Receives and reviews all outgoing correspondence and documents to ensure accuracy and completeness.
- Assembles necessary information and attachments for special studies, surveys, reports, etc., before submission to the Regulatory Analyst Supervisor for final approval.
- Acts in a public relations capacity in representing the Nursing Homes Section to persons by telephone or in person.
- Functions as a liaison with staff members of other agencies, professional associations, and providers; follows up on projects assigned to the Nursing Homes Section to ensure timely completion and to facilitate advising Regulatory Analyst Supervisor of project status.
- Assists in liaison efforts between the Regulatory Analyst Supervisor and their staff to ensure that internal assignments are carried out on a timely basis.
- Ensures the continuity of work and exercises independent judgement in order to meet deadlines on actions relating to the Medicaid program.
- Reviews and distributes Agency and Medicaid policy, regulatory, and procedural documents.
- Distributes material to staff members for information and guidance in the performance of their duties.
In the absence of the Regulatory Analyst Supervisor, the incumbent has responsibility for:
- Obtaining signatures by designated delegation of authority on correspondence in order to ensure a timely and proper response.
- Ensuring that inter-office communications are handled properly.
- Pending items which require follow-up action are addressed.
- Staff members are fully informed concerning assignments' status.
- New priority tasks receive special handling.
- Provider inquiries are handled appropriately.
Perform other duties as necessary.
A good attendance record is essential for any individual in this position as the work involved occurs daily and is time sensitive. The individual in this position is expected to report to work daily and on time.
This position is not a remote or telework position.

KNOWLEDGE, SKILLS, AND ABILITIES

MINIMUM QUALIFICATIONS REQUIREMENTS
One year of experience using Microsoft Word, Excel, Outlook, and PowerPoint.
Two years of administrative or clerical experience is required.
An Associate’s degree from an accredited college is preferred.
Administrative or clerical experience can substitute on a year-for-year basis for the preferred college education.
