The Bureau of Field Operations is responsible for the survey and certification process of health care facilities across the State of Florida.
These surveys ensure that all state licensed, and federally certified health care facilities meet the established state and/or federal requirements and patients and residents receive safe, quality health care.
Field Operations staff also ensure the safety of residents in health care facilities when emergencies such as natural disasters occur.
The Work You'll Do:
The incumbent in this position performs independent work handling the daily administrative and operational functions of the Survey and Certification Support Branch under the supervision of the Field Office Manager.
The person is responsible for a variety of assignments that require special research, coordination within the office, and in some situations, confidentiality is involved.
The incumbent must acquire and maintain knowledge about the functional responsibilities of the office, AHCA rules, regulations, and procedures that affect office management practices, as well as specific responsibilities of Bureau of Field Operations Management.
Keeps the Survey and Certification Support Branch management informed of assignments that represent sensitive, timely issues or major work projects for staff.
Determines and assists with appropriate assignment of all items requiring the preparation of a response, report, or other type documents for the approval and signature of SCSB management staff.
Prepares and tracks all assignments and ensures all items are received on the due date.
Handles special assignments including confidential assignments involving coordinated responses and information gathering.
Assists in the preparation of reports by formatting, preparing instructions, monitoring the completion, submission, and merging of work products into a single complete document.
Manages files, both hard-copy and electronic documents, to include classifying, sorting, scanning, collating, filing, retrieving, and archiving documents in various Agency locations, primarily the bureau share drive.
Conducts Quality Assurance reviews of files retrieved to assist SCSB report writers, analysts, and supervisors in the creation and publication of reports for field offices, bureau chief and deputy secretary, as directed.
This includes pulling CASPER and some ASPEN reports, comparing documents for accuracy under the supervision of the process owner, and assisting with data entry for various performance monitoring reports.
Provides technical support to internal staff to process regulation sets for revision.
Maintains primary responsibility for My Florida Marketplace.
Identifies budget issues and assists in problem solving.
Reviews monthly budget reports and submits approvals and/or corrected information by the designated due dates.
Perform project-based work as assigned including scheduling and arranging meetings.
Assists with preparations for the provision of statewide training initiatives, including production and processing of travel requests.
Creation of sign-in sheets, certificates, and name tents for all trainings.
Training coordinator backup for authorization, creation, and distribution of training materials as needed.
Acts as Personnel Liaison for the work unit, processing forms and maintaining training/orientation records.
Provides training and technical assistance to Unit staff on matters concerning business functions, I.e., Agency correspondence style, personnel rules and regulations, requisitioning and purchasing, travel regulations and reimbursement policies.
Maintenance of COOP listing, and Unit Contact information, updating as necessary.
Prepares materials for meetings/trainings, assists with equipment setup and provides ongoing support.
Acts as back-up receptionist for the unit, monitors CLOUD faxes, ensures incoming calls are answered and correspondence is handled timely.
May travel to assist in the coordination of out-of-town trainings/meetings, and conduct training in areas of expertise.
Performs other work as required.
Receives and routes telephone calls.
Receives, reviews, and distributes incoming mail.
Provides support services to the SCSB and Bureau staff as needed.
Serves as receptionist, screens, greets, announces, and routes visitors.
Data entry into various systems (including Health Facility Reporting System (HFRS) during emergency events).
Provides input and recommendations, assists in formulating and recommending programs and procedures to improve data integrity.
Communicates in writing and by phone with other work units, consumers and providers as required to resolve QA and technical support issues, and follows up as necessary.
Performs other work as necessary.

Experience in specific software applications: Automated Survey Processing Environment (ASPEN), Laserfiche, Versa Regulation, Microsoft Office (Word, Excel, Access, Outlook), CorrFlow, Health Facility Reporting System (HFRS), CASPER.
Ability to redact documents in accordance with Agency and HIPAA protocols.
Ability to travel with or without accommodation.
MINIMUM QUALIFICATIONS REQUIREMENTS
Two (2) years of professional or nonprofessional experience in administrative work with Microsoft Office and computer data entry, as verified on the application.
A bachelor’s degree from an accredited institution can substitute for the required experience.
