The Accounts Payable Specialist (A/P Specialist) will be responsible for accounts payable activities in a high volume, multi-system, energized environment. The A/P Specialist’s main responsibility will be to enter invoices in order to ensure day-to-day payment obligations are met in a timely and consistent manner. The A/P specialist must be able to interact effectively with the Facility Managers, Project Managers, Accounting/Finance staff and vendors on a daily basis.

General Accounts Payable

Candidate Profile:

Three (3) or more years of related accounts payable work experience, associate degree or above preferred. ​Knowledge of commonly used concepts, practice, and procedures for Accounts Payable.Intermediate skills in Microsoft® Word, Excel, Outlook, and Microsoft® Access.Relying on instructions and pre-established guidelines to perform the function of the job.Excellent verbal and written communication skills.Works well in a team environment.Relies on experience and judgment to plan and accomplish goals.Ability to interact with team members at all levels of the Firm and interface with external vendors and operations team as necessary.Customer service/client interfacing background

Expectations:

Pro-actively support finance and facility teams to deliver expected service levels to the Client. By complying with all requirements of the Client contract and support the account team to meet or exceed Key Performance Indicators.Process various types of accounts payable transactions including automated and manual data entry of vendor invoices, vendor reconciliations, expense reports, manual and emergency check requests etc.Process daily and weekly A/P for multiple sites and vendors ensuring all deadlines are met in high volume environment.Assist site team, client and vendors with A/P issues or questions as they arise.Understand and comply with all Jones Lang LaSalle A/P policies and procedures.Become a SME to the account team regarding the Accounts Payable process.Ensure that each transaction processed has appropriate approval prior to processing.Correspond with suppliers and account team and respond to inquiries.Reconcile vendor statements, research, and correct discrepancies.Special projects and other functions as required by manager or client.Maintain and update A/P process playbook and desktop operations workflows as required.Seek ways to constantly reduce costs, improve efficiency and operational standards.Actively support an environment of teamwork, co-operation, performance excellence and personal success.Participate in the individual performance management program, and personal development planning process.Act as an ambassador for JLL by behaving consistently with cultural and ethical requirements and participating in company activities.Maintain internal control processes and standards and ensure the compliance of the team.Special projects and other functions as required by manager or client.Ability to work overtime when required.

Job Responsibilities:

Process various types of accounts payable transactions including data entry of vendor invoices, manual and emergency check requests.Manage incoming/outgoing emails in the account mailbox.Answer property and vendor inquiries via e-mail and phone.Understand and comply with all JLL A/P policies and procedures.Monitor and enforce compliance by all JLL employees involved in the A/P process in respect to standard A/P policies and procedures.Assist in training of new A/P employees as needed.Communication with internal and external customers and vendors as needed.Perform various other duties as assigned by a manager.

Hybrid - Tuesday & Wednesday mandatory in office –Westmont, IL
