Coordinate services and information with other UW offices, including Office of Minority Affairs/Diversity, the Graduate School, the Office of Disability Resources for Students, the Registrar, and Continuum College. Provides administrative support for student services processes. Assist with planning and carrying out School of Social Work programs, including new student orientations/welcome events, workshops, and the Social Work graduation ceremony. **POSITION COMPLEXITIES** The position provides high-level administrative, management, and support for students, faculty, and the Director of Student Services in order to effectively operate and communicate comprehensive academic information. This position impacts registered students in both realms of student life and academic affairs at the School of Social Work. Interactions and communications that this employee has with students, staff, faculty and other campus units impacts the reputation of both the School and the University. **POSITION DIMENSIONS AND IMPACT TO THE UNIVERSITY** This position has significant impacts upon both incoming and current students, helping transition students into the academic programs, provide direct advising and support for students to assist them to graduation, and assists in administrative tasks that help the unit run smoothly. This employee will interact with faculty and staff at all levels within the school as well as staff/faculty in other units and vendors in outside companies. **WORKING CONDITIONS** + Ability to lift 30 lbs. + Located on the Seattle Campus, this position will include some evening and weekend work. + The amount will differ with whether the position is working with the full-time or our part-time evening/weekend/hybrid students. + Minimally, the position will help out with registration 1-2 times/quarter, which includes being logged in at either 6am or midnight for about an hour. + The position will also help out with events happening in the evening, usually 1-2 times per month. + The advisor working with the evening/weekend/hybrid cohort students will additionally shift hours to work usually 1 evening/week during academic quarters and up to four Saturday mornings each quarter. **DUTIES AND RESPONSIBILITIES** Academic Advising and Student Support + Serve as an advisor/counselor on issues concerning progress and completion through the program components and University policies. + Inform and advise students on MSW Program and Graduate School policies and procedures. + Respond to student inquiries within 3 business days by email, phone, in-person, and Zoom. + Provide appointments and drop-in advising on a regular basis. + Work collaboratively with other MSW advisors to build a strong community within our programs. + Advise students about complex program requirements based on when they entered, what program they are in, and requirements they have completed. + Advise students about classes and registration. + Advise students on personal challenges and how it relates to their academic progress and plan of study. + Create individual, revised plans of study when a student needs to take leave from the program. + Reach out proactively to students who are struggling to work through what their options are and what supports might be helpful. + Work closely with SSW Admissions to coordinate communications to incoming MSW students and manage onboarding of those students. + Act as lead advisor for a cohort of students. + Communicate and work closely with Program Office, SSW instructors and Field Faculty members as needed as it relates to student progress. + Make referrals to appropriate campus resources when necessary. + Inform students on career and professional development opportunities. + Assist students with financial and funding resources as well as grant opportunities within the University and through external agencies. + Provide information by workshops or presentations, to groups of incoming and continuing students. + Create and maintain content on both the student services website and the Canvas sites to provide timely and accurate information to students. + Provide support and direction to up to 15 student groups within the School of Social Work.Events and Student Engagement + Developing social, professional, and educational programming and partnering with UW and community resources to meet the needs of incoming and enrolled students, including but not limited to mental health resources, financial literacy, professional development and others. + Assisting and running some departmental events, including publicity, venue support, publications, catering, supplies, set-up and take-down, up to and including orientations and graduation. + Help to manage program procedures/documentation, including creating documentation for tasks. + Serve as lead for the student services canvas page, regularly making sure that the page stays current and accurate, that all of the links work, and that new information is added, as necessary.Miscellaneous + Additional duties as required to support the mission and strategic plan of the School of Social Work. **MINIMUM REQUIREMENTS** + Bachelor's Degree in Social work, Counseling, Education, or similar. + Three years of culturally competent academic advising experience with students in a diverse higher education setting. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS** + Strong organizational skills to include efficiently managing multiple priorities in a fast-paced, team-based environment. + Excellent written, verbal and interpersonal communication skills to create and edit written/online materials. + Excellent customer service skills and the ability to establish and promote a welcoming atmosphere. + Ability to relate effectively with a diverse range of people, including diversity in sex, age, class, race, ethnicity, national origin, religious affiliation (or lack thereof), immigration status, disability status, gender identity or sexual orientation. + Previous experience working within an established CRM such as Element 451. + Fluency in Microsoft Office Suite, especially excel, and computerized record-keeping systems. + Strong ability to handle highly sensitive and confidential information with discretion and professionalism. + Very strong attention to details in both written form and on project management. + Demonstrated problem-solving and systems design/improvement experience in complex systems. + Experience working in a team environment under general rather than close supervision. + Demonstrated excellent judgment in sensitive situations. + Demonstrated ability to work independently, take initiative. **DESIRED QUALIFICATIONS** + Masters degree in Social Work, Counseling, Education, or another related field. + Experience in developing and administering programs for student recruitment, support and retention, such as academic tutoring, study skills, personal and career counseling, and other academic assistance. + Experience working in higher education. + Knowledge of UW degree requirements. + Familiarity and comfortability with integrating data to drive decision making for resources and supports for students. + Experience with event planning, especially large-scale events, for the programming position. + Knowledge of UW administrative systems such as SDB, EARS, DARS, MyGrad, and BI Portal/EDW. + Experience and comfort in using software programs such Canvas, WordPress, Blogger, Screen capturing software and/or similar
