Job Description:

Academic administration

Manage the graduate program in conjunction with the graduate coordinator. Assist graduate coordinator in working with graduate students (approximately 105) and with applicants (approximately 350 per year). Interpret, implement and comply with policies and procedures set forth by the Registrar’s Office, the Office of Admissions, the Graduate School, the College of Liberal Arts and Sciences, and the department.

GIMS, Student Information System and forms management. Interface with Graduate Information Management System (GIMS) and the Student Information System for various duties. Enter student progress data in appropriate system; use system to prepare defense and degree paperwork for students. Prepare reports using data tracking.

Process semester letter of appointments to include verification of enrollment requirements and provide assistance to ensure students remain compliant with their respective appointment contract.  Process annual reappointment letters during spring evaluation period. 

Responsible for submitting Gerontology Certificates.

Graduate Student Admissions Coordinator: Collection of students’ doctoral program application materials and dissemination to faculty for review within FERPA guidelines. Responsible for preparation of correspondence related to admissions process (letters of acceptance, letters of offer, letters of denial, as well as associated reports and forms related to application and enrollment in the graduate program.

Inputs or retrieves graduate applicant data, student enrollment numbers, grades, schedule of courses and instructor evaluation data. 

Oversees textbook adoption.

Manage the psych-info email account to provide general information, typically to graduate applicants. 

Human resources administration

Responsible for all necessary paperwork and ePAF entries for 9-month graduate student appointments; collecting appropriate payroll documents for the appointment process, letters of appointments, and graduate student evaluations.    

Assignment tracking for the department chair.

Assist with Time & Labor approval when necessary. 

Operational duties

Serve as contact point for students, faculty, and general public. Act as department receptionist by managing incoming calls and messages left on the main department phone line; routing incoming calls appropriately.  

Responsible for mailbox labeling and scantron distribution.

Manages all copy requests and copy code for the department.

Serves as the manager for conference room and ad hoc classroom scheduling.

Backup for course scheduling.

Graduate course grades coordinator 

Send notifications to faculty and graduate instructors of the grading period deadlines.

Collect grades for graduate research and individual work courses without an instructor of record assigned. 

Other duties as assigned by supervisor

Expected Salary:

$18.00 to $22.00 per hour. 

Minimum Requirements:

High school diploma or equivalent and three years of relevant experience.

Preferred Qualifications:

- Graduate Student Admissions experience

- Human Resources experience

- PeopleSoft and Microsoft Office experience

- Eligible for or currently a Notary Public.
