Occupational Summary

 

Bass Connections is a Duke University program that supports collaborative, interdisciplinary research at Duke. Involving all of Duke’s schools, the program actively engages students and faculty in the exploration of complex societal issues through year-long research teams, summer programs, courses, and student research grants. Projects and courses are categorized under one of six themes — Brain & Society; Energy & Environment; Global Health; Health Policy & Innovation; Information, Society & Culture; and Race & Society. Launched in 2013, the program now includes more than 70 year-long research projects per year, several summer research programs, and numerous affiliated courses. Annually, approximately 700 undergraduates, 200 graduate students, and 350 faculty and staff participate in year-long project teams and summer research programs.

 

Major responsibilities of the Academic Coordinator include providing support and logistical guidance to theme directors and the faculty leading project teams in two to three Bass Connections themes; overseeing academic crediting and enrollment for participating students; tracking, supporting and promoting affiliated courses; managing student-facing programming including orientation and workshops for students, the student advisory council and student outreach events.

 

This position reports to the Associate Director of Bass Connections and is part of the Office of the Vice Provost for Interdisciplinary Studies. Our office is a remote-first work environment but the person in this role will be expected to attend on-campus meetings and events. A hybrid work schedule will be determined based on the candidate’s preferences and the needs of the program.

Work Performed
 

Theme administration (45%)

Support two to three Bass Connections themes (~20 Bass Connections project teams total) by working with the faculty director for each theme to:

Communicate important program information to team leaders and students

Assist in the review process for new project proposals

Coordinate theme-specific events designed to build community and share knowledge/experience within the theme

Track the progress of teams and their outcomes; provide guidance and support to teams, as needed

Attend meetings of project teams

Provide policy guidance to teams on processing expenses, adding students to payroll and travelling with students

Provide project leaders with quarterly budget updates and track no-cost extensions

Track and maintain records related to student, faculty and staff participation in the program database

 

Student Programming (35%)

Coordinate and represent Bass Connections at student outreach events including Blue Devil Days and orientation events

Manage the Bass Connections Student Advisory Council and assist with related events, activities and meetings

Support the planning and execution of the annual student fair and showcase

Respond to emails sent to general office address as well as other requests for information

Support the student application and selection process

Maintain and develop new resources and supports to facilitate the success of project teams

Develop and run a student orientation, and other trainings as needed, for students

Manage our annual leadership, mentorship, and student research awards which includes collecting submissions, sending submissions out for review and communicating decisions

Work with the Global Travel Office and project leaders to collect information about student travel, assess travel for risk and adherence to Duke policy, and ensure that travelling students sign participation agreements before departing

 

Academic Credit and Courses (25%)

Set up teams in the course request system and work with team leaders to register students for academic credit

Stay attuned to changes in the curriculum and how to align the program with curricular and degree program requirements for undergraduate and graduate level programs

Work with administrators in schools and units to better embed the program into curricular structures

Track Bass Connections affiliated courses and promote them to students

Support the Collaborative Project Courses Faculty Fellows program and Collaborative Project Courses Expeditions program

Work with faculty and units to design and implement more collaborative, project-based courses

 

 

Minimum Qualifications

 

Education
Work requires administrative and communication skills normally acquired through a bachelor's degree in a related field.

 

Experience

Work generally requires at least three years of experience in program or academic administration, OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.

 

Knowledge, Skills and Abilities
This is a multi-faced role that requires the ability to multi-task, adapt to evolving needs and operate independently. Successful applicants will be highly organized and will have a strong attention to detail. Applicants should have excellent oral and written communication skills and strong interpersonal and teamwork skills.

 

Applicants should also have familiarity with operating in an academic environment, preferably in higher education.

 

This job requires occasional, but rare, evening and weekend work.
