Academic Program Coordinator
The Johns Hopkins University Krieger School of Arts & Sciences is seeking a dynamic and outgoing **_Academic Program Coordinator_** within the Department of Near Eastern Studies who will support eight faculty and approximately 30 graduate students. The Academic Program Coordinator will manage the graduate student’s academic progress throughout the program and provide administrative support to the faculty and department. This position will also manage and maintain the content of the department’s website with supervision from the Academic Program Administrator. While this is a hybrid position, the employee would be fully on-site during the first two months for training, onboarding, and in-person meetings. **Specific Duties & Responsibilities** + Track student progress and requirements. + Coordinate all student language, comprehensive, and graduate board exams. + Coordinate graduate student admission process. + Provide information to students regarding admission criteria, program offerings, degree prerequisites and requirements, etc. + Prepare and send student communications regarding admission decisions. + Submit and maintain student financial aid records. + Manage the Appointment Letter process. + Maintain student database and shared drive files. + Support reporting of student hours. + Compile and enter course offerings each semester. + Prepare course and room schedule. + Manage 25Live Room scheduling for Department resources, including IT support. + Update the Course Catalogue annually. + Manage communications for department events, including flyer creation and distribution. + Maintain and update the department's website content. + Schedule and manage Department lectures and other events. + Schedule Department meetings. + Provide light administrative support to faculty and instructors for class instruction. + Manage Department keys. + Liaise between the Department and JHU IT support. + Maintain the department's procurement card, including reconciliation and submission of expense reports. + Forward-facing representative for general Department inquiries. + Coordinate mail and delivery services. **Special Knowledge, Skills, and Abilities** + High level of external and internal customer service skills. + Proficient with MS Office (including Word, Excel, Outlook, and OneDrive), email software, and online filing systems. + Experience in website content maintenance. + High aptitude for independent learning and investigation. + Ability to collaborate across programs and departments, establish positive working relationships, and provide constructive feedback. + Ability to work independently while promoting a culture of respect, teamwork, adaptability, and continual growth. _Level of Independent Decision-Making_ + Moderate **Technical Qualifications or Specialized Certifications** + General proficiency in information technology systems: Microsoft Office, PDF software, and email. **Specific physical requirements** + Lift up to 40 lbs for short periods of time. + Walk up to a mile to other offices and/or events on campus. + Work in front of a computer system for several hours at a time. **Minimum Qualifications** + High School Diploma or graduation equivalent. + Three years administrative/academic related experience. + Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula. **Preferred Qualifications** + Bachelor’s Degree. + Experience with academic program software (SIS, CLSS, Slate) + Experience with finance software (SAP, Concur, OPEN) + Experience with scheduling software (25Live, Outlook) + Experience with timesheet software (e210, TimesheetX) + Experience with WordPress and Canva or other design software. + Previous experience in academia focused on student records/academic programming. Classified Title: Academic Program Coordinator Role/Level/Range: ATO 37.5/02/OE Starting Salary Range: $18.20 - $26.00 - $33.90 HRLY (Commensurate w/exp.)
