Academic Program Specialist III
Job Description:This position will serve as an Academic Program Specialist III to support distance education in the College of Medicine Office of Graduate Education at the University of Florida. The distance education support team facilitates every step of the student lifecycle/academic journey, beginning from pre-admission and culminating in graduation for students housed in the College of Medicine Office of Graduate Education.
The incumbent in this position performs a wide range of academic responsibilities in support of the online graduate programs, such as, coordinating course development for the online programs, academic advising, registration related tasks, processing of applications and records, administrative functions like reporting and drop requests, transfer of credit requests. The incumbent will work in a team environment under the leadership of the Associate Director of Distance Education.
Responsibilities include:
Registration for the Online Graduate Programs Oversee the processing of all registrations for online programs at the College of Medicine Office of Graduate Education. Serves as the primary point of contact for active students and as the liaison with the Registrar’s office post matriculation, including resolution of any enrollment issues. Maintains accurate and up-to-date student records in the Salesforce system, mirroring the Student Information Systems in Campus Solutions. Communicates with students in the resolution of any student record or registration issues. Independently troubleshoots and resolves non-routine registration issues in accordance with College and University policies. Responsible for all drop and Student Initiated Drop/Add requests in One.UF; additionally, responsible for all retroactive schedule adjustments, in collaboration with the Associate Director of Distance Education. Course Scheduling Processes Manages all course scheduling processes, in collaboration with the Associate Director of Distance Education, for all online programs in the College of Medicine Office of Graduate Education. Coordinates with the program coordinators or directors to ensure accurate course information is requested for current and future term offerings. Overseeing the planning and execution of the Schedule of Courses in the university system and for monitoring University deadlines for course scheduling, which is broken up into three phases for all term: section activation, AD Astra scheduling, and publication of courses. Administrative Processing for the Distance Education Team Responsible for the transfer of credit process, including reporting, generation of requests, and communication with appropriate university offices, department coordinators/directors, and students. Works to identify errors in university records of matriculated students, to ensure no issues on a student’s record. Work in collaboration with the Associate Director to maintain Salesforce Dashboards and other university record systems for the review of program directors. Coordinate with the Associate Director to request website updates and set deadlines in accordance with department and university guidelines. In coordination with the Associate Director of Distance Education, assists with the distance education program expenses, and provides information and advice to current and prospective students, parents, faculty and others in areas of such financial aid. Coordination of Non-degree Processing with the University Registrar Process all non-degree applications submitted for online College of Medicine Office of Graduate Education programs. Will be responsible for creation and maintenance of non-degree queries in the Slate system. Will coordinate communication with appropriate parties in the Office of the University Registrar to process applications and create registration time in Campus Solutions. Expected Salary:$60,000-$70,000; commensurate with education and experience.
Minimum Requirements:Bachelors degree and two years of relevant experience; or a high school diploma and six years of relevant experience. Appropriate college coursework may substitute at an equivalent rate for the required experience.
Preferred Qualifications: Previous admissions, academic advising, or similarly related higher education experience. Experience with the various UF systems, such as Salesforce CRM, Slate, Compass, SIS, GIMS, myUFL. Demonstrates critical thinking and problem-solving skills, works proactively, and takes ownership of responsibilities and/or problems. Excellent written and verbal communication skills. Comfortable speaking to large groups and interacting with students and other members of the community. Ability to work under deadlines, adapt to changing environment, and handle multiple priorities.
