The Access Business Analyst Coordinator plays a pivotal role in managing and maintaining master scheduling templates for physicians within the hospital and clinic settings. This position is responsible for creating, editing, and updating these templates in accordance with the overarching principles and guidelines established by Billings Clinic. With a comprehensive understanding of patient access, the Coordinator ensures that appointment types and templates are effectively integrated with other access initiatives, such as virtual telehealth visits and online scheduling. This role is crucial in aligning provider schedules to enhance patient access, streamline processes, and improve overall service delivery. The successful coordination of these efforts significantly impacts the organization’s efficiency and success, making the understanding and management of this influence vital to the role.
Essential Job Functions
• Supports and models behaviors consistent with Billings Clinic’s mission, vision, values, code of business conduct and service expectations. Meets all mandatory organizational and departmental requirements. Maintains competency in all organizational, departmental and outside agency standards as it relates to the environment, employee, patient safety or job performance.
• Design, edit, and maintain master scheduling templates in Cerner, ensuring that all adjustments align with Billings Clinic’s principles, guidelines, and broader access initiatives.
• Partner with department leadership, providers, and other stakeholders to manage scheduling changes effectively, minimizing disruptions to patient care and maintaining service quality.
• Continuously assess and improve access-related processes, integrating initiatives that enhance efficiency and patient access throughout the organization.
• Identify and address scheduling conflicts or misalignments, escalating issues as needed to maintain adherence to established guidelines and ensure consistent service delivery.
• Ensure that scheduling templates meet the contractual requirements for provider-patient contact hours, aligning with organizational standards.
• Implement manual scheduling changes when necessary, particularly when automated systems do not account for specific provider or departmental needs.
• Work closely with training teams to update and maintain scheduling protocols, ensuring that all relevant staff are informed and prepared to follow updated procedures.
• Effectively communicate all scheduling changes and updates to relevant teams, including the Scheduling Trainers and departmental leadership, to ensure smooth transitions and continuity of care.
• Proactively seek opportunities for growth and development, completing all mandatory training and maintaining up-to-date knowledge of organizational standards and industry best practices.
• Adhere to all relevant safety, regulatory, and compliance standards to ensure a safe environment for patients, employees, and visitors.
• Provide assistance to the Scheduling team as directed by department leadership
• Perform other related duties as assigned to meet the needs of the department and organization.
Minimum Qualifications
Education
• Bachelor's Degree or equivalent combination of education and experience.
• Cerner Millennium: Fundamentals successfully completed within 12 months of hire.
• Cerner Millennium: Building and Maintaining Scheduling Management successfully completed within 12 months of hire.
• Workflow Basics: Scheduling Clerk in Revenue Cycle eLearning, recommended.
Experience
• Minimum of two (2) years of professional office experience, with a preference for experience in scheduling at Billings Clinic or similar access-related roles.
• 1 year of experience in scheduling at Billings Clinic or similar access-related role, preferred.
