Accessioning Manager

Position Summary:
We have an exciting opportunity to join our team as an Accessioning Manager.

In this role, the successful candidate supervises staff and ensures the proper performance and standardization of all intake and accessioning workflows and procedures in the Anatomic Pathology laboratories of NYU Langone Health Hospitals. Works collaboratively with all referring clinician offices and all article 28 procedural areas to ensure proper specimen submission and identification. Works together with the Administrative Manager at ACC to manage external courier services specimen delivery schedules. Manages the relationship and onboarding process of all ambulatory care practices. Is responsible for ensuring proper creation and merges of medical record numbers within the laboratory information system and reconciliation with EPIC. Troubleshoots any related accessioning or billing errors including those that are triggered through EPIC work queues.

Job Responsibilities:

1 Supervision of staff: assigns responsibilities evaluates and documents staff performance and performs personnel counseling Reviews accessioning work performed by staff to ensure consistent high quality; Conducts annual performance reviews and maintains employee files. Sets staffing schedule and workflow plans consistent with the needs of the department.

2 Staff Development: Recognizes and identifies staff needs and develops programs to meet needs. Offers guidance and provides resources for improving performance standards. Participates in staff retention and recruitment activities. Monitors and continually works to improve staff productivity and accuracy.

3 Quality Assurance and Quality Control: Develops quality control standards and maintains relevant records consistent with regulatory standards. Works with Administrative Director and Quality Systems Director on QA initiatives. Ensures regulatory compliance with all regulatory agencies in the accessioning/intake areas including Joint Commission CMS EPA OSHA DOH CAP.

4 Procedure development: Develops and/or modifies policies and procedures and ensures that they are current and relevant Effectively trains staff on all new procedures and/or processes 

5 Laboratory Workflow: Develops intake and accessioning and relevant laboratory workflow processes in conjunction with anatomic pathology director and administrative director.

6 Works with NYU Brooklyn Perlmutter Cancer Center and ACC 38th Street Pathology management in overseeing accessioning/intake operations; Provides leadership support to accessioning staff at all sites to ensure standardization of intake tasks between Tisch and other sites.

7 Behavioral Standards: Cooperates and communicates effectively with staff managers pathologists and clinicians.

8 Planning and Budgeting Understands budget process as required by director and prepares any requested related reports. Understands use and limits to staff over time. Uses data from Beaker and/or audit report to effectively manage the accessioning area. Orders supplies and equipment as needed. Uses supplies and resources in a cost effective manner.

9 Referring Client Communication: Serves as a liaison between the accessioning area and all OR /in patient areas/off site article 28 locations and referring clinician offices to ensure timely and proper specimen submission and identification. Ensures compliance with all specimen acceptance/rejection standards by the department and all referring locations and providers; Distributes and explains specimen submission requirements to referring clients. Provides them with necessary supplies needed for specimen submission to the laboratory.

10 Client Services: Manages client services; Responsible for onboarding physician practices in all specimen capacities; This includes if necessary visiting the new practices and providing in person training; Additionally provides ongoing physician and practice customer support; Maintains excellent client relations by ensuring all issues are resolved. Works with business manager to ensure that all supplies are ordered correctly for each practice.

11 Manages the implementation and operations of the external courier contract for Anatomic Pathology; Specifically works together with the ACC Administrative Manager for the 38th Street hematopathology lab to ensure that the courier pickup and delivery schedules for all referring clinician offices and off site article 28 spaces are optimal; Maintains adequate schedule so that specimens arrive in the department in a timely manner; Performs periodic analysis and review to ensure cost containment and efficient operations; Develops a relationship with our account executive to maintain excellent service.

12 Troubleshoots any specimen accessioning MRN and some billing issues.

13 Oversees Second Tiers of all specimens processed through surgical pathology for all sites in Manhattan/Brooklyn to ensure specimens are correctly processed. Develops second tier and quality control procedures as they relate to accessioning and billing alongside ACC Administrative Manager.

14 Works on and oversees EPIC work queue management pertaining to specimen intake Works with Administrative Manager on epic implementation as it relates to specimen intake. Works with HIM on any EPIC patient identification issues requiring their assistance. Works with EPIC help desk as needed.

15 Manages the creation and maintenance of the pathologist case assignment schedule to accurately assign cases to pathologists.

16 Assists manager with any and all other duties as assigned.

Minimum Qualifications:

Bachelor’s degree Five years experience in surgical pathology Excellent oral, written communication skills preferred

Preferred Qualifications:

Masters Degree Specimen accessioning and billing experience preferred 1 or more years supervisory experience in a surgical pathology laboratory

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $62,400.00 – $94,500.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
