Job Summary The Account Operations Manager is responsible for supporting the Account Management department by overseeing program execution from a financial and operational perspective. The position is required to communicate with various teams and departments to ensure the end result considers all applicable information. This is a hybrid position and requires reporting to our New York Office 2x per week. Responsibilities Job Duties Drive program execution to successfully deliver on ever-changing clients’ staffing requests and requirements to ensure Clients and Retailers are informed and impressed by Winston’s resolution to make last-minute changes without impacting flawless execution at retail. Communicate with the Winston Team to ensure the Back Office Management team has the information they need to succeed with staffing, scheduling, and data entry. Deliver completed monthly/weekly client calendars accurately and on time. Review scheduling to ensure that staffing is providing appropriate talent for each project – reviewing calendars at least one week before client delivery to ensure proper spacing for visits, visits are released to the correct rate, making call-outs to the staffing team with noted suggestions for a new date if it is confirmed incorrect. Partner with the Travel Team to coordinate and recommend the most efficient travel solutions for all brands. Partner with Account Director and Account team on client door changes and ensuring those are executed in BOS and that staffing and the field team are aware. Building, loading, reviewing, and releasing proposals as requested by the Account Management team. Adapt to change quickly and with a positive attitude – Assist with special requests the Sr. Director/Director of Account Management might have to ensure the execution of client projects. Review Daily Service schedules to ensure staffing is complete and on target. Manage and monitor Winston/Client fiscal responsibilities to ensure all budgets and financial documents for the New York Accounts/Clients are 100% accurate and delivered on time. Conduct a monthly proposal review and reconciliation for all applicable brands. Review receipts for all field travel applicable to multiple brands including meals, lodging, gas, tolls, parking, etc. Ensure the travel budget is executed efficiently in both cost and timing by bringing forth any concerns uncovered through regular monitoring. Approve travel expenses on time by communicating with both Account Management and Operations regarding any discrepancies. Maintain client budget files and provide monthly budget updates to the Director of Account Management. Partner with the Finance department to ensure accurate and timely completion of monthly reconciliations, when requested by the Director of Account Management. Close out all proposals for the Account Management team by ensuring all project segments are clean and all additional hours have been removed from the contingency.
