COUNCIL OF SUPERIOR COURT JUDGES Job Title: Accountant 2 – (Accounts Payable) Salary Range: $43,680 - $64,480 Reports to: Director of Fiscal Services General Summary Performs accounting and fiscal control functions specifically relating to accounts payable. Records financial transactions, analyzes and reconciles accounting records, and prepares standard accounting reports. Determines sources of errors by researching accounting records. Records correcting entries (adjustments, voids, or reversals) in the PeopleSoft Financial Module. Maintains complete, accurate, and readily accessible files that conform to applicable policies, procedures, guidelines, and standards. Essential Functions • Processes superior courts’ accounts payable items such as invoices, purchase orders, voucher adjustments, and travel reimbursements for judges and employees within 72 hours of receipt. • Reviews source documents such as accounting reports, vouchers, invoices, receipts, requisitions, travel, and other forms on a daily basis and makes any necessary corrections. • Balances and reconciles accounting records, such as batch reports, telecommunication invoices, agency-generated reports, and other related records, on a monthly basis. Ensures upper management is kept apprised of accounting issues and concerns. • Performs monthly accounts payable subsystem reconciliation. • Responds to accounts payable inquiries and addresses any issues within 24 hours. • Maintains a consistent, high quality, customer focused orientation when performing duties and providing services or products to judges, the general public, and other internal and external customers. • Monitors and reconciles 1099 payments quarterly; verifies 1099 data and makes corrections as required. • Maintains and verifies list of judges’ county-paid support staff for those counties eligible for reimbursement; submits and processes authorized reimbursements to those select counties. • Forwards certification forms to judges annually to appoint the official court reporters for each judicial circuit. • Maintains, processes, and distributes court reporters’ travel stipends monthly. Ensures payment records are accurate; follows up to address any over/under payments. • Organizes and files accounts payable documents weekly. • Assesses, coordinates, and schedules record storage, destruction, and archiving annually. Job Title: Accountant 2 Page 2 of 2 • Updates advisory documents for agency (such as Deskbook, Employee Handbook, and Court Reporter Certifications) to conform with regulations. Knowledge, Skills and Abilities • PeopleSoft Financials • Excel • Word Working Conditions Moderate noise; business office setting; teleworking opportunity available Physical Demands Must be able to transfer up to 25lbs. Communications Communicates effectively and positively with co-workers and others. • Graduate of high school, including or supplemented by courses, seminars, conferences, and other continuing professional education in accounting with three years of cumulative experience in a professional capacity. • Three years of experience in the use of required modules in the state's financial system or other systems. • Ability to organize work and set priorities. Preferred Qualifications • Some college education. • Five years of hands-on experience working in PeopleSoft, the state’s financial system. • Strong organizational and customer service skills. • Basic level of proficiency with Microsoft Word and Excel.
