This role involves invoicing, procurement, financial reporting, and asset management while working closely with researchers, students, and faculty. The ideal candidate is detail-oriented, proactive, and comfortable handling diverse financial tasks in a research and academic setting. **Responsibilities** **Financial & Revenue Management** + Manage the full revenue cycle of the Nanofab service recharge center. This includes processing the monthly invoicing, accounts receivable/payable, and pricing of lab services and consumables. + Maintain billing accuracy, including tax exemptions, adjustments, and manual corrections. + Reconcile financial records, prepare journal entries, and ensure proper cost allocation. + Ensure compliance with federal and university financial policies. **Budgeting & Reporting** + Help forecast and track the annual revenue, providing variance analysis and monthly reports. + Enter and maintain financial data in lab management systems ( HSC Cores), reconciling accounts each month while ensuring accuracy and detailed justifications. + Support financial audits, ensuring compliance with university and federal regulations. **Procurement & Expense Management** + Oversee procurement, purchase orders (POs), and payment processing. + Ensure compliance with university policies for purchases, travel expenses, and reimbursements. + Manage P-Card transactions, including yearly audits and strict reporting requirements. + Optimize cost-saving strategies for lab supplies, shipping, and equipment maintenance. **Capital Asset & Inventory Management** + Oversee the capital assets inventory and asset disposals. + Ensure inventory availability for critical research activities, including chemical, cleanroom, and hazardous material stock. **Lab & Student Support** + Ensure accurate lab user account setup and management. + Support lab teaching courses, handling billing, expense tracking, and student course fee oversight and reconciliation. 1. Prepares and assesses budget, revenue, expense, payroll and journal entries, and other accounting documents. 2. Analyzes and monitors budgets and expenditures for compliance with fiscal accountability and reporting requirements. 3. Analyzes and forecasts revenue and expenditure trends. 4. Reconciles balance sheets, cash, general ledger, payroll accounts and supporting journal entries. 5. Develops accounting systems and documents to support the input and handling of financial data and reports. 6. Interacts with internal and external auditors and participates in auditing projects. 7. May supervise or train lower level accounting staff. Seldom: Bending, reaching overhead. **Minimum Qualifications** Bachelor’s degree in Accounting, Finance or a related field, plus one year related experience or equivalency (two years of related work experience can be substituted for one year of education) required. A thorough understanding of general ledger accounting practices, cost analysis and accounting principles, as well as demonstrated analytical, problem solving, human relations and effective communication skills also required. Knowledge of PeopleSoft or Access databases may be preferred in some areas.
