OPEN COMPETITIVE ANTICIPATED VACANCY Duties and Responsibilities
Process and mail out of expense warrants daily for central office sites. Place travel warrants in appropriate bins for central office programs who are notified weekly (at a minimum) by email for pick-up.
Process and mail out payroll checks, bi-weekly and supplemental-payroll checks, as needed. Place payroll checks in appropriate bins for pickup by central office programs. Verify all people who pickup payroll and travel documents as authorized personnel
Copy miscellaneous checks that are not reflected on the Miscellaneous Deduction report bi-weekly, and all Salary Refund checks. Stamp with paid date as they are sent out.
Monitor Disbursements Call Log and Payment Inquiries inbox. Research and provide oral or written communication to provide the requested information. Responsible for the research of vendor and program office inquires as assigned. This requires the ability to use the FLAIR accounting reports, the DOH Financial Information System (FIS), My Florida Market Place (MFMP) and the automated voucher storage system (Axiom Pro).
Sort all expense warrants and various documents, as needed, to the CHDs, CMS, and Lab locations to be mailed out by the Mailroom.
Respond to calls from program offices and perform research as needed.
Overnight warrants for specified locations on an as needed basis.
Responsible for receiving, preparing, and mailing out W2’s annually.
Responsible for keeping inventory for certain office supplies and notifying management when inventory is running low, and more supplies are to be ordered
Perform other duties, as assigned.
Your Specific Responsibilities:
This is a professional accountant position that serves in a support role to the Bureau of Finance and Accounting. Duties include, but are not limited to, the following: Checks for CHDs are received, sorted, and prepared for the mailroom to pick up daily. Warrants are enveloped and readied to be mailed out daily or held and requestors notified when special handling is requested. Payroll warrants, special payments and salary refunds are received, identified, and prepared to be sent over night by the mailroom to the CHDs and program office or picked up by the appropriate staff. Email for payroll checks to be picked up is sent by 3 pm the Thursday before payday.
Required Knowledge, Skills, and Abilities: Knowledge of the FLAIR accounting system and state disbursements procedures. Must be proficient in Microsoft Word, Excel, and the use of database software. Incumbent must have a clear understanding of auditing principles and methodology.
Qualifications:
Minimum 1 year of proficiency in Excel.
