Job Description:
The Accounting Administrative Assistant is responsible for carrying out administrative functions to support the accounting leadership team. This individual directly assists with the administration and the day-to-day operations of the Accounting Department, serves as the supplier administrator for Workday and PDI, and completes any ad hoc projects needed.
Responsibilities:
Works on tasks including, but not limited to, scheduling internal and external meetings and appointments, and handling general administrative duties. Manages and maintains the calendars of the Accounting Leadership team (Directors and above), which includes scheduling meetings, arranging travel details, and forwarding and following up on relevant messages and emails. Creates agendas and organizes all of the necessary documents for meetings. Coordinates and arranges team events. Completes leadership team expense reports, as well as orders office supplies for the team. Processes invoices promptly and follows up on Purchase Orders in Workday. Handles details of a confidential nature and performs administrative functions based on the understanding of company policy. Communicates interdepartmental information across various levels of the organizationActs as point of contact for executives and employees, as well as external clients.Serves as the supplier administrator for both Workday and PDI; includes, but is not limited, to adding and editing supplier information and verifying supplier banking information. Assist team members with setting up and maintaining budgets in Workday.Assists the Accounts Receivable team with organizing and shipping coupons.Assists with testing of new system updates.Carries out ad hoc reports/assignments as needed.Qualifications:
• 3 + years of relevant experience in an administrative or support function at the executive level required
• Strong communication skills, verbal and written, are required
• Strong prioritization skills
• Intermediate skills in Microsoft PowerPoint, Excel, and Word
• Working knowledge of Microsoft Outlook, including scheduling functions, Microsoft Teams, and Zoom
• Ability to maintain confidentiality
• Ability to work on multiple tasks or projects concurrently
