Accounting/Administrative Assistant

As an **_Accounting/Administrative Assistant_** you will be responsible for the following job description: Apply now if you meet the qualifications listed below! **Administrative/Accounting Assistant** **I. Summary of the main function/purpose of the position:** Responsible for performing basic accounting tasks like data entry, account reconciliation, A/P and A/R invoice processing, and assisting with financial statement preparation. Ensures accuracy and compliance with SOX and company policies. Provides administrative assistance in other departments **II. Principal duties/responsibilities:** + Generate and send invoices to customers. Track outstanding payments and follow up on overdue invoices. + Record customer payment transactions. + Review customer terms and conditions. + Match vendor invoices with receiving documents and purchase orders before entering invoices into the accounting system. + Select invoices for payment in accordance with payment terms and the Company’s policies. + Communicate with vendors both by phone and email. + Confirms validity of vouchers (non-purchase order item) and gathers appropriate approvals before entering vouchers into the accounting system. + Assist with audits by providing documentation and other support as needed. + Contact banks and credit associations to obtain customer credit information and provide this information to the Controller for the purpose of determining credit limits. + Maintain accounting history by filing, scanning, or otherwise storing documentation. + Maintains inventory of office and printer supplies. Order and replace these supplies as needed. + Assist by answering telephones and directing visitors. + Assist by organizing company functions. + Other accounting/administrative duties as assigned. ______________________________________________________________________________ **III. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions. + Three years of accounts receivable/accounts payable experience + Proficiency in Adobe Acrobat and MS Office (Outlook, Word, and Excel required). + General working knowledge of ERP software package necessary + Excellent time management skills and ability to prioritize work + Attention to detail and problem-solving skills + Strong organizational skills with the ability to multi-task and work both independently and as part of a team **IV. Schedules offers a 9/80 work schedule. We work 9 hours each day Monday - Thursday, 8 hours on one Friday and have the alternating Friday off.
