**POSITION SUMMARY**
The Accounting Administrative Assistant is responsible for supporting the day-to-day Accounting activities. The successful candidate will demonstrate a willingness to perform needed operations responsibilities to lead the Company, effectively supporting Executive Leadership. This job requires a high energy level with a focus towards administration, compliance, analysis, and customer service.
**ESSENTIAL DUTIES AND RESPONSIBILITIES**
Include the following. Other duties will likely be assigned.
+ Compute, classify, record and verify numerical data for use in maintaining accounting records
+ Match vendor invoices and purchase orders, packing slips when applicable.
+ Scan copies of invoices with issues and route to appropriate party, follow-up in a couple of days to resolve open issues.
+ Receive vendor invoices via e-mail, route to appropriate party, follow-up in a couple of days to resolve open issues.
+ Enter invoices into accounting software, approve and pay invoices.
+ Track vendor agreements and apply discounts when possible through timely payments.
+ Follow internal control policies, guidelines, and procedures for activities such as budget administration, cash and credit management, and accounting.
+ Assist with processing invoices and maintaining accounting records.
+ Assist with monthly and quarterly accounting close and preparation of financial statements and reports.
+ Organize and maintain A/P records.
+ Assist with A/P accrual at month’s end.
+ Close A/P cycle timely in order to help with monthly accounting closing.
+ Coordinate timely payments with suppliers and purchasing personnel.
+ Assist with financial reporting, accounting, billing, collections, payroll, and budgeting duties.
+ Assist with internal/external audits schedule and requirements.
**QUALIFICATIONS**

**POSITION REQUIREMENTS/PREFERRED EDUCATION and/or EXPERIENCE**
+ BA/BS in Accounting, Finance or similar degree preferred
+ Minimum 1-2 years Accounting experience. Accounts Payables experience preferred.
+ Experience in the construction industry and union environment a plus
+ Working knowledge of federal, state, and city regulations and guidelines.
+ Proficiency using Microsoft Office (i.e., Outlook, Word, Excel) applications.
+ Working knowledge of financial/payroll software helpful. Experience using Starbuilder preferred.
