Accounting Manager
Description Our client is a nonprofit organization looking for an Accounting Manager to oversee the Accounting department ensuring the seamless administration of critical financial functions, including monthly payroll processing, billing, and financial audits. This role will report directly to the business manager and requires a detail-oriented candidate with strong accounting expertise, organizational skills, and the ability to communicate effectively across departments. Essential Duties and Responsibilities: 1. Accounting Management + Oversee the day-to-day accounting functions, ensuring accurate and timely entries into the accounting system for seamless financial reporting. + Process data related to payables and receivables, ensuring the timely payment of vendor invoices. + Manage cash receipts, daily bank reconciliation, and monthly reviews of bank and investment account statements. + Reconcile all general ledger (GL) accounts monthly and prepare financial reports for leadership and Board meetings. + Assist in budget preparation and departmental forecasting, ensuring strong collaboration with department heads. + Establish procedures and controls to maintain compliance with AICPA and FASB standards. 2. Payroll Administration + Manage the full cycle of monthly payroll processing, ensuring compliance with federal and state regulations. + Handle confidential payroll data and ensure deadlines are consistently met. + Administer payroll functions, including collecting and processing PTO hours and employee benefit transactions. + Coordinate with payroll vendors to update pay-dates, earnings, and deductions while reconciling payroll to the GL. + Provide payroll reports and resolve payroll-related issues as needed. 3. Account Billing + Oversee the billing process, including generating charges and credits, preparing statements, and ensuring timely communications. + Manage payments and credits, addressing failed transactions such as payments and processing returned or declined payments. + Work closely to provide guidance on payment plans and the online payment systems. + Ensure reconciliations between the billing system and GL are performed accurately. 4. Collections and Financial Aid + Serve as the primary collections representative, handling past-due accounts and ensuring early resolution of outstanding balances. + Communicate regarding billing issues and escalate unresolved matters to the Business Manager. + Assist in the financial aid process, including maintaining applicant records, preparing notifications, and collaborating to resolve discrepancies. 5. Financial Audits + Lead the annual external financial audit by preparing schedules, work papers, and necessary documentation. + Serve as the primary contact for the auditing firm and oversee Form 990 preparation. Requirements Qualifications: + Bachelor’s degree in Accounting or related field (CPA strongly preferred). + Minimum of 3–5 years of non-profit accounting experience (school-related experience preferred). + Proficiency with accounting systems such as QuickBooks, Paychex Flex, Veracross Tuition Management, Clarity Financial Aid, and tools like Microsoft Excel, Word, and Diamond Mind/Campus Pay Software. + Comprehensive knowledge of GAAP regulations and familiarity with AICPA and FASB standards. + Highly organized and detail-oriented, with the ability to handle confidential information autonomously and efficiently. + Strong interpersonal, written, and verbal communication skills, with the ability to work effectively with families, faculty, and leadership. + Demonstrated problem-solving abilities and ethical standards.
