Job Purpose or Objective(s): The Travel & Expense Manager is responsible for overseeing the Travel & Expense Department within the organization. They will play a crucial role in optimizing travel operations, controlling expenses, and providing strategic direction to the department.
Primary Tasks:
Provide strategic direction and leadership to the Travel & Expense Department, ensuring department goals, objectives, and performance targets are achieved. Monitor and analyze expense data to identify trends, opportunities for cost savings, and potential policy or process improvements to develop and implement both departmental and expense management policies, procedures, and guidelines while ensuring compliance with regulatory requirements and industry best practices. Oversee all aspects of travel operations, including travel booking, itineraries, vendor management, policy compliance, reporting, and corporate cards including developing and maintaining relationships with travel vendors, negotiating contracts, and securing the best pricing, terms, and conditions for travel services. Stay updated on relevant travel regulations, tax implications, and legal requirements to ensure compliance with applicable laws and regulations to mitigate potential risks related to travel and expense management through proactive monitoring, policy enhancements, and staff training. Manage and mentor a team of travel and expense professionals, providing guidance, coaching, and performance feedback through a culture of continuous learning and professional development within the department. Identify opportunities for technology integration and automation to streamline workflows and reporting to allow for efficient and user-friendly travel booking tools and systems, to enhance efficiency, accuracy, and user experience. Collaborate with finance and accounting teams to ensure accurate and timely reconciliation of travel expenses and corporate card billing. Conduct regular performance evaluations, set goals, and support employees in their career growth. Maintain data confidentiality and security protocols for sensitive financial information. Other duties as assigned.Requirements:
Bachelor’s degree in Business Administration, Finance, Accounting, or a related field or 4 years related experience. Four years of experience in travel management, expense management, or related field. Comprehensive knowledge of travel industry practices, expense management principles, and regulatory requirements. Strong understanding of accounting principles, financial principles, budget management, and cost control strategies. Familiarity with travel booking systems, expense management software, and corporate card programs. Six (6) years of accounting experience. Excellent leadership and team management skills, with the ability to motivate and develop a high-performing team. Project management skills, with the ability to handle multiple priorities and meet deadlines.
