Job Description
We are searching for an Accounting Specialist to be a team player within our busy accounting department. The ideal candidate will have basic knowledge of accounting and experience working in a busy office. He/she will possess excellent customer service skills, be a team player, and offer consistent support to colleagues. Attention to detail and organizational skills are essential for success in this role. Experience in the construction or trades industry is a significant plus.
ResponsibilitiesAssisting billing specialists with gathering all documents needed to assemble detailed invoices for submittal to the client.Preparation of partial and final lien waivers for subcontractors.Verification of receipt of paperwork, including signed contracts and certificates of insurance.Data entry and tracking of fully executed contracts, change orders, lien waivers, and certificates of insurance.Tracking subcontract compliance, including follow-up with vendors, project managers, and data entry upon receipt.Creation of physical files for storage of 'master file' documentation.Entry of vendors into the database, follow-up with vendors to obtain vendor setup information including W9’s.Entry of A/P invoices into the system.Filing of A/P checks and associated backup, creation of vendor files.Filing timesheets and mailing paystubs.Consistent review of accounting email inbox, routing, and printing of items.Daily mail process, stamping, and distribution.Filing of construction and design invoices.Maintenance of our file tracking database.Answering low volume phones and routing accordingly.Refilling and stocking kitchen and bath supplies as needed.Assisting executives with correspondence and other administrative needs.Cross-training to ensure coverage at all times, assisting with tasks such as cost report updates, estimate entry, printing, and data entry.Essential SkillsBasic knowledge of accounting.Experience in a busy office environment.Excellent customer service skills.Attention to detail.Organizational skills.Basic office skills, including email composition and use of Microsoft Excel and Office Suite.Experience in the construction or trades industry.Sage experience.Intermediate Excel skills.Work Environment
The work environment is in-office, five days a week, with approximately 25 people in a spacious, modern, clean, and comfortable office. The company promotes a casual work environment and values flexibility. The accounting department encourages cross-training to ensure coverage during absences. Pay and BenefitsThe pay range for this position is $30.00 - $32.00/hr.
