Accounts Payable Analyst

Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations._ **Responsibilities:** GENERAL PURPOSE: Prepares, records, verifies and pays vendor invoices for goods and services on a timely basis and responds to vendor queries. Maintains, analyzes and reconciles accounts payable ledger accounts, financial statements and reports. Develops, directs, plans and evaluates accounts payable policies and procedures, and ensures external and internal controls and policies are adhered to. May process employee expense reimbursement requests for payment. **ESSENTIAL FUNCTIONS** + Generates recurring invoices for leases/contracts as needed. Monitors activity and resolves issues that could impact timely payment. Works to ensure proper close out, extensions, changes, and additions. Performs due diligence and maintains orderly documentation. Coordinates with other settlement staff to ensure coverage each day. Ensures checks are distributed properly, including special handling. Responsibility for voids and stop payments, ensuring appropriate documentation and follow-up actions are being taken. Retrieves copies of cashed checks from bank system or other reconciliation details to provide proof of payment as needed for audits and funding recoveries. Assists with EFT payments. Manages invoices, departmental questions, supplier questions, status requests, and process questions to the Accounts Payable email box, ensuring emails are routed/distributed appropriately with consideration for attendance of other staff, workloads, expertise, and other factors. Responsible for facilitating service tickets through to resolution whether with subject matter experts or independently. + Actively participate in department/team staff meetings and training sessions. Serves as a resource for other staff. Provides training to new staff and re-trains or cross-trains existing staff. Assists in development and delivery of training to University departments on the use of University form, policies, and procedures. Assists in problem identification and resolution. Compiles and provides feedback to leadership for improving processes and updating policies. Creates and updates procedures and training guides in a timely manner. Assists in creating recommendations and implementation of objectives, programs, and procedures to enhance services of the department. + Resolves invoicing and payment problems, including timely and professional responses to all phone calls, emails, and faxes. Follows up thoroughly until items are processed and removed from supplier statement, providing payment information to departments and suppliers. Works with suppliers and departments to get any additional information needed to process outstanding invoices and credit memos. Investigates and thoroughly researches transactions as needed. Works collaboratively with Purchasing and departments to resolve invoice discrepancies and payment delays. Ensures invoices and credit memos are processed in a timely manner. Prepares credit memos as needed to ensure overpayments, duplicate payments, and other unapplied cash with suppliers can be realized by UR. + Documents procedures to continuously improve processes and procedures to improve upstream or downstream activities. Participates in testing of upgrades and new functionality. Updates procedure documentation as appropriate. + Participates in projects as assigned. Assists team members with the successful completion of tasks. Provides feedback to leadership to improve processes and updating policies.
