Accounts Payable Assistant
The Tokio Marine HCC - Public Risk Group, is seeking an Accounts Payable Assistant to join our Accounting & Finance team. Public Risk Group provides multiple lines of property and casualty insurance to public entities and water districts in multiple states.
The ideal candidate will have a minimum of two years of accounts payable, clerical office, and/ or general accounting experience. They will demonstrate sound knowledge of general accounting principles, regulatory standards, and compliance requirements. They will also have excellent written and verbal communication skills with an emphasis on confidentiality, tact, and diplomacy. Organizational skills and an ability to handle multiple different tasks over the course of a day will be required to successfully perform in this role. Analytical skills and a high attention to detail will be required. Intermediate proficiency with Microsoft Office package (Excel, Access, Word, PowerPoint) is necessary. Experience with PeopleSoft, Esker, or ImageRight is a plus.
The Accounts Payable Assistant communicates with vendors, customers, and different departments in the organization to resolve outstanding payments and clarify issues related to accounting policies and procedures. This role is responsible for the accounts payable process for assigned accounts and ensuring the accuracy of the entire process.
Key Responsibilities:
Maintain vendors in Peoplesoft and obtain appropriate documentation including W-9’s, EFT Authorization Form, and IRS TIN Match (which requires registration on IRS website).
Code, review, and process invoices to the appropriate workflow in Esker.
Review expense reports for compliance with TMHCC’s T&E policy, ensure proper G/L coding, and substantiate receipts
Process claim payments and ensure completeness of claims interface. Make corrections to vendors and vouchers as needed.
Generate payments by check, ACH, and Wire and distribute / file as appropriate.
Process voids and stop payments, as needed.
Escheat unclaimed funds as needed.
Assist in the research and response to both internal and external customers regarding inquiries and assist in resolving issues and discrepancies.
Prepare items such as deposits, reports and other records, and review for accuracy.
Assist with monthly close, including bank reconciliations for multiple accounts
Validate and issue 1099-Misc and 1099-NEC forms annually.
Provide ad hoc information as requested and assist with special projects.
Position Knowledge, Skills, and Requirements:
Associate or Bachelor’s Degree preferred; High School Diploma or equivalent may be considered dependent upon work experience.
Overtime hours may be required to fulfill job responsibilities
May be required to remain stationary for extended periods of time
May be required to move up to 10 pounds
Must be able to operate a computer and other devices
