Accounts Payable Purchasing Coordinator
Description Job Description- Purchasing Accounts Payable Coordinator TASKS, DUTIES, & GENERAL RESPONSIBILITIES • Maintains purchasing email by responding to employee inquiries. • Review purchase requisitions for back up compliance, general ledger accuracy with emphasis on fixed assets, i.e. asset tag and/or project number, etc. • Collaborate with employees to update purchase order with insufficient funds. • Collaborate with employees to closes purchase orders with no activity after 6-months. • Completes credit applications and tax exemption forms for signature and approval. • Generate and reconcile quarterly purchase order commitment report and hand off to accounting. • Maintain vendor maintenance for domestic and foreign, i.e. create, and update vendor information, i.e. banking information, w8/w9 and ensure compliance for independent contractors. • Apply tax treaty laws when applicable. • Maintain Accounts Payable mailbox daily. • Generate report once a year to ensure IRS 3-years expiration rule is being adhere to for w8 forms. • Reconciliations company credit card transactions monthly. • Generate report to identify vendors with no activity in (18) month and mark them as inactive. • Preparing 1099 and reconciling CP2100 notices. • Assist with maintaining SOP for vendor maintenance. • Special projects and additional duties as required. • Open and sort mail • Provide refund check to Accounts Receivable. Requirements QUALIFICATIONS • Associate degree in accounting is preferred, or equivalent work experience. • 2-5 years of Accounts Payable experience. • 2-5 years of experience using an ERP system and Microsoft Excel and Word preferred. • Excellent attention to detail and multi-tasking ability. • Excellent critical thinking, verbal and written communication skills. • Excellent organizational and problem-solving skills.
