We are in the process of hiring an Accounts Payable Specialist to cover a maternity leave for up to 12 weeks.
This position is in the Real Estate Property/Facilities Management industry. The role is based in Newton, Massachusetts, and is a short-term contract position. As an AP Specialist, you will be responsible for managing vendor information, processing invoices, assisting with check runs, and providing administrative support for our automated expense reporting system.
Due to the size of this company it is very possible the need will be extended pending performance.
Responsibilities:
• Manage and set up new vendors, ensuring the completeness and accuracy of the received information.
• Scan and code invoices promptly and accurately, selecting the proper workflow for approval.
• Post approved invoices weekly in line with Corporate and Property schedules, commit invoices for payment, and pull necessary backup as needed.
• Oversee the weekly check run, EFT file, and manual checks.
• Aid in the weekly check run reconciliation.
• Assist vendors with invoice and payment inquiries.
• Maintain open lines of communication with corporate personnel and regional staff, addressing inquiries on payment status and questions on invoice coding.
• Provide copies of cancelled checks, invoices, and other reports out of Yardi Payscan to auditors and other individuals within the organization when required.
• Support the administration of our automated expense reporting system, Concur, including setup of new employees, exporting and reporting inquiries, and additional tasks as needed.
• Assist with voids, stop payments, check re-issue when needed and work on resolving stale-dated checks monthly.
• Resolve any issues with PNC Bank related to Posi-Pay.
• Assist with 1099 Preparation.
Requirements • Bachelor's degree in Accounting, Finance, or related field
• Proven experience in a similar role within the Real Estate Property/Facilities Mgt industry
• Strong understanding of Accounts Payable (AP) and Accounts Receivable (AR)
• Proficiency in Bank Reconciliations, General Ledger, and Journal Entries
• Experience with Month End Close procedures
• Familiarity with accounting software such as NetSuite, Oracle, QuickBooks, and SAP
• Excellent attention to detail and accuracy in work
• Strong analytical and problem-solving skills
• Excellent communication and interpersonal skills
• Ability to maintain confidentiality of sensitive information
• Ability to work independently and as part of a team
• Proficiency in Microsoft Office Suite, particularly Excel
• Strong organizational and time management skills, with the ability to prioritize tasks effectively.
