Accounts Payable Specialist
Description: + Resolve Invoice and Purchase Order Issues: Investigate and resolve problems related to invoice and purchase order processing. + Account Reconciliation: Reconcile accounts and vendor statements by identifying and correcting posting errors or omissions. + Invoice Coding: Assign correct codes to invoices, vouchers, expense reports, check requests, etc., following standard procedures to ensure accurate financial system entries. + 3-Way PO Matching: Perform 3-way matching of purchase orders, receipts, and invoices. Attach relevant purchase orders, checks, and supporting documents to incoming invoices. Ensure all invoices are accurate, properly documented, and approved before submitting for payment. + Vendor Communication: Handle vendor correspondence via phone or email. Receive, research, and resolve internal and external inquiries regarding account status. + Payment Processing: Prepare batch check runs, wire transfers, and ACH transactions. + Remittance Processing: Process remittance information from checks, drafts, and wire transfers for vendor invoices. Determine proper disposition and credit accounts accordingly. + Reporting and Month-End Closings: Prepare necessary reporting documents and assist with month-end closings. + File Maintenance: Maintain paper filing systems. + Mail Management: Check and distribute incoming mail. + AP Aging Review: Review accounts payable aging reports. + Additional Duties: Perform any other duties necessary for the functioning of the Accounts Payable Department. Tasks may change as needed.
