Overview JOB SUMMARY: Under the supervision of the Accounting Manager, the employee will be responsible for the accounts payable functions and will also assist the Accounting Department in various clerical capacities. Responsibilities ESSENTIAL FUNCTIONS: Responsible for all Account Payable functions for Doyon, Limited and several subsidiary companies o Receive and date stamp invoices daily o Review invoices for accuracy, correct coding, and approval o Determine which invoices are paid by check and which by credit card or by ACH o Input invoice information into accounting system o Pay invoices according to the published check printing schedule of the Accounting Department o Pay invoices using credit card on a weekly basis o Regularly review accounts payable aging report for invoices past-due o Prepare monthly credit card expense report to upload into accounting system Responsible for filing annual Forms 1099 o Submit and collect Forms W-9 and W-8BEN from all vendors o Regularly review vendor information to ensure an accurate, timely filing o Review vendor accounts for Form 1099 determination o Prepare and submit Form 1099-NEC and MISC to vendors o Assist Accounting Manager as needed in preparing magnetic media file to transmit to the IRS Assist Accounting Manager in maintaining accounts payable and general ledger accuracy o Work with Accounting Manager to maintain accurate vendor files o Research vendor statements and accounts as necessary to answer questions and correct problems o Assist Accounting Manager in maintaining the Recurring Vendor/Invoices List o Assist employees with expense reports as needed o Maintain general ledger journal entry logs and files Assist Accounting Manager with other projects as requested, including: o Account reconciliations o Assist Accounting Manager with Shareholder Distributions o Assist Administrative Assistant in sorting and distributing daily mail when necessary o Maintain Accounts Payable Procedure Manual and update annually or as changes occur o Other duties as assigned o Attendance of continuing education initiatives, including a limited number of events each year requiring overnight travel, may be required DOYON LIMITED CORE COMPETENCIES: Commitment to Excellence – Identifies what needs to be done and takes action to achieve a standard of excellence beyond job expectations. Qualifications REQUIRED QUALIFICATIONS: High School Diploma or GED equivalent Two years prior accounting experience Knowledgeable of computerized and/or manual accounting systems Working knowledge of Microsoft Word and Excel PREFERRED QUALIFICATIONS: Associates degree in accounting WORKING ENVIRONMENT: The majority of work is performed in a professional office setting with a wide variety of people with differing functions, personalities, and abilities. PHYSICAL DEMANDS: The work is generally sedentary, requiring routine walking, standing, bending, and carrying items weighing less than forty pounds.
