Job Description
We are seeking a dedicated and detail-oriented Accounts Payable Specialist to manage multiple locations alongside other AP Specialists and the AP Manager. This role requires meticulous management of the AP inbox, accurate processing of bills, and maintaining strong relationships with vendors and employees.
ResponsibilitiesManage multiple locations with other AP Specialists and the AP Manager.Manually manage the AP inbox daily to ensure bills are entered into Chase360.Respond to internal and external emails promptly.Reconcile Vendor AR Aging to our vendor payable balance.Review new and updated vendor documentation for the AP Manager.Organize and move emails to the correct folders.Follow up on emails as necessary.Process bills accurately and ensure the correct bill and any additional backup are attached.Ensure proper general ledger coding of invoices.Process transactions and perform accounting duties such as account maintenance, recording entries, and reconciling books of accounts.Establish good working relationships with employees and vendors.Verify vendor accounts, pay vendors, and resolve invoice or payment discrepancies.Ensure check requests and employee expense reports are supported with proper documentation (e.g., invoices, receipts).Download all online invoices to avoid late payments.File paperwork properly in a filing system or our digital system.Assist with W9s and 1099s to ensure proper tax reporting.Stay informed of regulatory requirements and best practices in accounting.Assist in special projects as needed.Overtime work may be required.Essential Skills3+ years of accounts payable experience.Strong communication skills.Comfortable with change and doing things differently.Experience working with an ERP system.Willingness to learn and be trained.Additional Skills & QualificationsExcel skills are a plus but not required (pivots and lookups not needed).Experience handling high volume of invoices (100 invoices/day, manual entries).3-way match experience preferred but not required.Work Environment
This position is fully onsite and involves managing a high volume of manual invoice entries. Candidates must be comfortable with a dynamic work environment and be open to learning and adapting to new processes. Overtime may be required as needed.
Pay and Benefits
The pay range for this position is $24.04 - $28.85
