Accounts Payable Specialist Print (https://www.schooljobs.com/careers/bridgevalleyedu/jobs/newprint/4803361) Apply  Accounts Payable Specialist Salary $39,087.00 - $44,983.00 Annually Location South Charleston, WV Job Type Non Classified Staff Job Number 364 Division Financial Affairs Opening Date 01/23/2025 Closing Date 1/28/2025 5:00 PM Eastern Description Serving as a member of the Department of Financial Affairs, and under direction of the Chief Financial Officer, the Accounts Payable Specialist supports institution-wide purchasing efforts to include accounts payable and purchasing of goods and services. The Accounts Payable Specialist ensures purchasing efforts are conducted in a timely manner while maintaining compliance with federal and state laws as well as institutional policies and procedures. Examples of Duties + Initiate travel payments. Verify that the supporting documentation for travel settlement meets or exceeds the guidelines established by the State Auditor’s Office. Utilize the Banner system to process check payments. Ensure all travel settlements have been approved by the appropriate personnel prior to payment. + Serve as Purchasing Card (P-Card) co-coordinator. Reconcile P-Card transactions within the WVOasis system. Review supporting P-Card documentation for compliance. Follow-up with employees to ensure missing or incomplete documentation is resolved. Reconcile P-Card transactions on a monthly basis to meet deadline requirements of the State Auditor’s Office. Notify P-Card holders, on a weekly basis, regarding outstanding P-Card transactions. Weekly monitor and evaluation P-Card workflow procedures and update when necessary. + Initiate vendor payment process via check, P-Card, or IET. Verify that the supporting documentation for the invoice meets or exceeds the guidelines established by the State Auditor’s Office. Utilize the Banner system to process check payments. Ensure all invoices have been approved by the appropriate personnel prior to payment. + Review and load daily and/or weekly warrant and P-Card files into both the WVNet portal and Banner system. Load the AP26 report monthly into both the WVNet portal and Banner system. Assist with the monthly reconciliation process to ensure transactions are accounted for and discrepancies are investigated and corrected. + Assist the Director of Purchasing as needed. + Assist the Chief Financial Officer with annual institutional audit by compiling information requested by the auditors. Qualifications Education, Knowledge, & Experience Associate ’ s degree in business, accounting, or related field plus two years of related, full-time experience in accounting OR an equivalent combination of education and experience Other Skills & Abilities + Demonstrated attention to detail required + Two years of full-time data entry experience + Two years of full-time customer service experience + Ability to follow policy and procedure + Knowledge of record and bookkeeping + Strong mathematical skills + Strong analytical and problem-solving skills + Effective oral and written communication skills + Ability to effectively prioritize, organize, manage time and adapt in a sometimes stressful environment + Ability to establish and maintain working relationships + Ability to use computers systems and software (Microsoft Office, Excel, Teams, WVOasis, Banner, etc.) + Ability to operate office equipment such as computers, scanners, copiers, fax machines, etc. Additional Information + BridgeValley will not accept incomplete applications.
