Accounts Payable Specialist
Description The Accounts Payable (AP) Specialist is responsible for managing the organization's payable transactions, ensuring accurate and timely processing of invoices, and maintaining strong vendor relationships. + The AP Specialist plays a crucial role in maintaining the financial health of the organization by effectively managing payables and optimizing cash flow. + This role involves reviewing and verifying invoices, reconciling payments, resolving discrepancies, and ensuring compliance with company policies and procedures. + Recordkeeping: Maintain organized and accurate accounts payable files and documentation for audit and reference purposes. + Invoice Processing: Receive, review, and process invoices accurately and timely, ensuring 3-way Match with appropriate approvals and adherence to company policies and procedures. + Payment Processing: Prepare and process payments, including checks, electronic transfers, and other methods, ensuring accuracy and adherence to payment terms. + Expense Reporting: Review and process employee expense reports, verifying compliance with company policies and processing reimbursements in a timely manner. + Reconciliation: Reconcile vendor statements and resolve discrepancies or issues promptly. Ensure accurate recording of payables and maintain up-to-date accounts payable records. + Vendor Management: Establish and maintain positive relationships with vendors, responding to inquiries, resolving payment discrepancies, and managing vendor accounts. + Compliance: Ensure compliance with applicable regulations and internal controls. Stay updated on changes in accounting and tax regulations that may impact accounts payable processes. + Process Improvement: Continuously evaluate and recommend enhancements to accounts payable processes, systems, and workflows to increase efficiency, accuracy, and productivity. + Reporting and Analysis: Generate periodic reports on accounts payable activities, aging of payables, 1099 Processing. + Back up for Accounts Receivable position. + Customer Invoice Generation: Prepare and distribute accurate and timely invoices to customers based on BOL. + Assist in entering Customer Invoices in Customer portal. Requirements The ideal candidate will have • Bachelor's degree in accounting, finance, or a related field is preferred. • Solid understanding of accounting practices and principles. • Proficient in Microsoft Office with a high degree of proficiency in Excel and Word. • Familiarity with electronic payment systems and invoice processing tools. • Excellent interpersonal, oral and written communication skills. • Ability to meet deadlines, high initiative and able to work in a team and independently. • Ability to work in a fast-paced, multi-tasked and fast-paced environment with firm deadlines. • Integrity, credibility, and commitment. Excellent financial and analytical skills. • Ability to operate in a cross-cultural environment requiring flexibility. • Problem solving, time management skills, self-motivated and critical attention to detail. • Proven experience in accounts payable or a similar finance role. • Strong knowledge of accounting principles, practices, and procedures. • Proficiency in using accounting software and financial systems. • Excellent attention to detail and accuracy. • Effective communication and interpersonal abilities. • Strong organizational and time management skills. • Familiarity with relevant regulations and compliance requirements. • Ability to work independently and as part of a team. • Ability to meet deadlines and work in a fast-paced environment.
