Job Description
The Accounts Payable Specialist is responsible for processing a minimum of 40-45 invoices per day, managing the accounts payable email inbox, and researching any discrepancies. The role requires basic proficiency in Excel and involves full cycle accounts payable processes, including monthly accruals and vendor invoice submission.
Responsibilities
+ Process a minimum of 40-45 invoices per day and ensure timely payments to meet set deadlines in a high-volume, fast-paced environment.
+ Assist the supervisor with monthly accruals and submitting assigned vendor invoices while guaranteeing accuracy.
+ Understand prepaid invoices and the differences between down-payments vs. prepaids.
+ Adjust/pay appropriate sales tax when vouchering invoices.
+ Complete special projects and implement changes as needed; identify trends and initiate changes to improve performance.
+ Complete audit requests in a timely manner.
+ Review and respond to vendor statements and emails.
+ Ensure adherence to AP policies and compliance with internal control guidelines and external requirements.
+ Prepare and process weekly vendor payments, which may require printing of checks and mailings.
+ Identify and resolve any discrepancies between purchase orders and invoices.
+ Assist with establishing new vendors in accordance with company policy, responding to the business and validating vendor records.
+ Assist with processing remote deposits and ensure accuracy and consistency in coding.

Additional Skills & Qualifications
+ Sr. level AP experience (3-5 years)
+ Ability to research and respond to vendor questions
+ Strong communication skills
+ Accrual experience
+ Intermediate level Excel knowledge
+ Experience with PO and Non-PO invoicing
+ SAP experience (2-3 years within the last 5 years)
+ VIM (Vendor Invoice Management) experience is a plus
Work Environment
The position requires working in the office on Tuesday, Wednesday, and Thursday, with remote work on Monday and Friday. Standard work hours are Monday through Friday, 8 AM to 5 PM, with an hour for lunch. Overtime is not permitted unless requested by your manager
Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
