Accounts Receivable Specialist

Heartland Food Products Group is a global leader in the consumer packaged foods industry, supplying store brand solutions for the retail and food service markets. Products include zero calorie tabletop sweeteners for hot and cold beverages and granular sweeteners for both tabletop and baking use. Heartland is also a pioneer in the emerging portable liquid beverage mix category. Products are manufactured in the USA and distributed throughout North America, Europe, Central and South America, and the Pacific Rim.  

Perform accounting and clerical tasks related to the efficient maintenance and processing of accounts receivable transactions.  This position also requires cross training for roles outside the key responsibilities. 

 

KEY RESPONSIBILITIES:

Order ProcessingRoute orders via customer portal to ensure accurate and timely fulfilment.Enter incoming customer orders into ERP for processing.Manage master price list by working closely with the sales and marketing teams to ensure accurate invoicing.Cash ApplicationAccurately process and apply incoming payments (checks, ACH, wire transfers) to customer accounts.Ensure timely and accurate posting of cash receipts to the correct invoices and accounts.Accounts Receivable Processing invoices via email or keying into customer portals to ensure on time payments.Reconcile amount paid vs amount owed by customer by identifying the reason for any short payments or deductions/chargebacks.Obtain deduction/chargeback documentation through requests, emails, vendor portals, etc.  Contacting customers concerning collection issues such as unpaid invoices, invalid deductions, and missing documentation.Work cross functionally with internal groups (e.g. sales, logistics) to resolve outstanding issues.Communicating to department lead any noteworthy concerns, in summarized manner.Manage and maintain AR documents and files. Other duties as assigned.

PHYSICAL DEMANDS

Must be able to sit for extended periods of time and interact with computers, telephone and other electronic media.Must possess visual acuity to document company records.Must be able to work extended hours, such as daily overtime and an occasional weekend.

 QUALIFICATIONS:

Strong computer skills including experience in ERP platforms, Excel, and other Microsoft products.AR experience preferred.Work with Amazon and Shopify portals a plus.QuickBooks Experience a plus.  Associate degree or equivalent experience.Thoughtful and analytical approach to planning, problem solving, and decision making.Detail oriented, with a “big picture” understanding. High level of initiative and ability to work independently with limited supervision. Customer Service orientation and good oral and written communication skills required.
