ADMIN ASSISTANT

Responsibilities Administrative Assistant provides administrative and secretarial support to the Administration Department and others. Performs all secretarial functions. Essential Duties and Responsibilities: Takes accurate and clear telephone messages and manage them to their correct destination. Distributes internal and external correspondence, including faxes received. Purchases office supplies and other necessary equipment. Transcribes meeting minutes, as assigned by supervisor. Coordinates meetings. Performs filing of documents. Responds to calls or visits establishing the urgency of situations. Assumes responsibility for the delegated task and follows up on it. Maintains confidentiality of documents and information received. Allocates his/her time establishing priorities in line with the organization needs and maintaining flexibility for unforeseen events. Completes work within the time limit. Complies with Company mandatory trainings, such as: Compliance Plan, Human Resources and Departmental. Exemplifies the standards of the Service Excellence Program. Makes travel arrangements as requested.
