Overview: 

The Admin Assistant supports the office wide administrative duties as well as the VP Head of the Hong Kong Buying Office. The incumbent is required to understand the business, coordinate with internal and external parties, maintaining workflow by refining standard operating procedures and achieving organizational goals.

 

Job Responsibilities:

Provide general office administrative support such as ordering stationery, maintaining office supplies, business cards, managing mail services, processing expense claims and invoicesAssist in the coordination and logistic support in office accommodation, renovation, maintenance Plan, organize and execute company events such as annual dinner, Christmas party, summer carnival, fun workshopsProvide secretarial support to leaders in HKBO Schedule and coordinate internal/external meeting arrangementsCoordinate and prepare meetings include materials and minutesCoordinate with internal and external parties proactively and independentlyCompile and extract data for presentations and reports Manage vendors and service providers’ contractsExplore regional trade shows to attendPerform ad-hoc projects and tasks as assigned by supervisor

 

Job Requirements:

Minimum 1 year of working experience in office administrationGood command in written and spoken EnglishProficient in Microsoft OfficeAttention to detail and accuracyGood communication and interpersonal skillsCan-do and willing to learn attitudeIndependent, Responsible, detail-minded and proactive
