Role Summary

The Administrative Assistant provides a wide variety of administrative support to the Department Manager and personnel, including but not limited to maintaining department filing system, creating and maintaining reports, handling company sensitive and/or confidential correspondences and information.  This role multitasks, meets critical timelines and produces deliverables while maintaining the highest level of confidentiality and ethics.

 

Responsibilities

Preforms the daily administrative duties of the Department including but not limited to filing, document and spreadsheet creation, developing reports, data entry and communicating with entities outside of the Refinery Provides telephone coverage; screen calls; take messages and distributes in a timely and appropriate manner as required Manages the calendar of Manager; schedules internal/external meetings and appointments; and coordinate conference calls Coordinate travel arrangements (air, hotel accommodations and ground transportation) with travel agency; prepare detailed itineraries and assure accuracy and timely delivery of plans/tickets to travelers Review managers' expense reports, verify expense documentation and submit to accounting for payment Liaison for ordering and re-orders of all office supplies. Check stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies Manage the hourly and salary employee time keeping system Assist with special projects, day-to-day tasks, material distribution and copies for meetings Assist with setup of new employees Write requisitions as directed   Handles multiple projects in an efficient manner Receive and review invoices for accuracy in a timely manner; accurately process invoices and presents any inaccurate invoices to Manager Develop and maintain cost control reports for the Administration department; including but not limited to, Procurement, Warehouse and Security Develop and update administrative systems to make them more efficient Resolve administrative problems, coordinates activities with other administrative assistants as needed Other duties as assigned

 

 

 

 

Required Qualifications

High School diploma or GED required Three (3) years administrative experience Ability to multi-task in a fast-paced environment Proficient and accurate data entry skills Excellent written and verbal communication skills and interpersonal skills to effectively communicate with all levels of the organization and the public Excellent time management skills and the ability to multi-task and prioritize work Strong organizational and planning skills Attention to detail and problem solving skills Professionalism Ability to proficiently utilize Microsoft Office Suite office applications; Word, Excel, PowerPoint and Outlook Ability to handle confidential or sensitive information ethically with tact, courtesy, and discretion Ability to type sixty (60) words per minute Must be legally authorized to work in the United States Must be able to pass pre-employment background screening and drug screen

 

Desired Characteristics

Associate Degree in business discipline Five (5) years of experience in an administrative role Experience with Sharepoint Experienced with Microsoft Access
