HOW AN ADMINISTRATIVE ASSISTANT II WILL MAKE AN IMPACT:

Working in a discreet environment handling sensitive and personal information daily

Completing transactional duties with special attention to detail, being organized, and multi-tasking

Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email

Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant II, your day-to-day responsibilities will include:

The Administrative Assistant (AA) will work with the Library team by assisting as an office manager and holding responsibility for the Inter-Library Loan account, which requires some training in a library system but is routine once mastered

The AA will work alongside the team interfacing with the Sponsor population by addressing resource and research requests, working reference desk shifts, and managing the public access spaces

The resource is considered an office manager, and will be required to assume some administrative duties but also will be expected to identify and implement process improvements

Routine office duties include: tracking of IT requests, managing vault access, managing Library public spaces via Sponsor System, and assisting with access requests to onboard new Library staff

The entirety of the Library staff is working to incorporate business analytics to address the drivers of Library mission requirements

Ability to assist or contribute to this effort is desired

Communication and consistency are paramount considerations regarding the position since the Library is an outward facing organization

Previous Sponsor experience is helpful but not required

The Library provides an ideal environment in which to experience Sponsor culture, given the corporate nature of the office

Required is the ability to work with Library staff to determine mission requirements vice requests of a personal nature, and the ability to deny requests outside of the scope of Library mission

The Administrative Assistant will assist Library management with the logistics of planning Library team events

As a member of the team, expectations include attendance and participation in team events, including staff meetings and off-sites

Management of the Library space does require the resource to be on their feet at intervals, and the entirety of the team is expected to assist in maintaining the integrity of the space and shelving books as needed

As noted earlier, there is some flexibility as to specific work schedule

The resource is considered an essential component of the Library team, which very much functions as a unit rather than a host of individuals

The Library staff all have individual responsibilities and work together on our collective coverage of core Library responsibilities

This position requires a strong teamwork ethic, the ability to interact diplomatically with the Sponsor workforce, and in general a demeanor that appreciates interacting regularly with others

The library team is a small staff, and each member of the team is expected to self-direct to accomplish routine tasks (once trained and familiar with said task)

Specific tasks may include: Managing the Inter-Library loan account; log and mail monthly serial delivery, collect and distribute Library mail; create, update and distribute team phone cards; work with Acquisitions team to collect metrics on electronic resources; assist Library team in collecting metrics for the physical space; work with the team to improve business processes

All created documentation and data is required to be stored in a shared access space on the Sponsor system

There are no travel requirements for the position

WHAT YOU'LL NEED TO SUCCEED:

The position requires an active Top Secret/SCI with Polygraph clearance

The position requires High School Diploma and two (2) years of relevant experience or equivalent combination of education and experience

Work schedule agreed upon includes at least six hours between 7:30am-4:30pm daily; arrival time for this position can be no earlier than 7:30am

The position is on customer site

The likely hourly rate for this position is between $23.80 - $32.20. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
