HOW AN ADMINISTRATIVE ASSISTANT II WILL MAKE AN IMPACT:

Working in a discreet environment handling sensitive and personal information daily

Completing transactional duties with special attention to detail, being organized, and multi-tasking

Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email

Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant II, your day-to-day responsibilities will include:

The level of autonomy varies as AA cannot respond to any medical subject matter however as AA becomes knowledgeable, assimilates/integrates & learns the business & culture the expectation is for AA to achieve high degree of autonomy with AA job duties/responsibilities

AA's work at the Medical Center has many transactional duties, however AA is also the first person customers meet in the medical unit

The medical unit has an appointment schedule but there is also a great deal of walk-in business, therefore there is a significant dynamic component to this position

The AA is sole administrative support for the Department medical unit & optimal function of the unit requires daily team collaboration & communication

Professional decorum is an absolute must as there is high visibility/exposure to employees and senior leaders

Intermittently will need to provide administrative support to division front office

Very important for AA to have strong verbal/writing skill

HIPAA training is a requirement for AA due to access to protected PII and medical information

Will need to provide various types of instructions, etc. to employees who present at medical unit

AA has desk/chair at disposal however there is frequent sit/stand activity required in order to perform job duties

Requires ability to lift maximum 25 lbs

Potential travel to other buildings within WMA to attend meetings/off sites &/or required contractor meetings/training

POV Travel is required

The AA should have basic level Excel experience with some intermediate skills including (transposing data, onditional math (SUMIF, COUNTIF), subtotaling, naming cells/named ranges, error checking, conditional formatting, statistics (count, average, median), protecting data

The AA should have basic level Word experience to include some intermediate (formatting pane, cpplying styles, creating outlines, inserting breaks, aligning table text, labels, creating charts, track changes, inserting hyperlinks) and advanced skills (creating form letters and prepare printing labels )

The AA should have intermediate level Outlook experience along with some Advanced akills (creating & managing data files, Creating & working with notes, scheduling meetings & booking meetings, using delegate access, changing sharing permissions, working with templates

WHAT YOU'LL NEED TO SUCCEED:

The position requires an active Top Secret/SCI with Polygraph clearance

HS Diploma and two (2) years of relevant experience or equivalent combination of education and experience

Core hours are M-F 0800-1600; no additional hours are planned however would contact PM for permission for additional hours in case emergent need arises

Proficient Word, Excel, Outlook, PowerPoint

The position is on customer site

The likely hourly rate for this position is between $23.80 - $32.20. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
