HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

The AA will be part of a support requirement that enables to two Mission Centers

The primary duties involve supporting an agreement with another government agency (OGA) for the transportation of some of the OGA's cargo and K-9s

This involves regular communication with the OGA's POCs to gain passenger information for each flight

As part of daily duties, the AA will monitor and respond to requests via the Sponsor's internal electronic messaging system, track status against flight manifests and ensure all documents are current and valid

The AA will coordinator and will also track all cargo, record information, and communicate information to all necessary parties

The AA will backup and cross train with another Travel Coordinator in all manifests and program SOPs

The present pace of the office is deemed medium and ebbs and flows based on external factors such as FAA regulations, flight delays/anomalies, and customer special requests

The office is a small team of three consisting of a staff Program Manager, a staff Deputy, and an administrative assistant

In addition to the team-oriented environment, the Administrative Assistant (AA) will communicate information to the passenger, field travel team, and contractor regarding passenger/cargo manifests, flight arrival/departure times, and lost and found items

The AA will check Program-shared correspondence and respond accordingly

In addition to answering simple requests, the AA will be required to do additional research to resolve any complex issues

The AA will answer communications from customers including phone calls and instant messaging, and routes requests accordingly

The AA will take care of customer travel, electronic messages, baggage, travel schedule, requirements of carrying classified documents and battery restrictions

If there are any discrepancies, the AA will contact the appropriate travel coordinator and together they determine the way forward to ensure an accurate manifest following field and FAA protocol

The AA will notify the Program Manager of any special requests, VIPs, and K9s that are travelling on the flight

On flight departures, the priority is to complete the passenger manifest and complete all official forms of communication timely and with accuracy

When writing communications, the AA will ensure that they are complete and accurate

The AA will ensure all cargo manifests are received in timely manner, and send the information forward via the sponsor messaging system and proper email when required

The AA must be team-oriented, as duties require collaboration and coordination across the organization and community

Specifically, the AA will communicate and coordinate with the logistic components to approve cargo shipments and pouching requests

The AA will communicate with other travel, HR, and support staffs to ensure complete accuracy of passenger manifests for each flight movement to/from the field

The AA will report to the Customer COTR/Program Manager

WHAT YOU'LL NEED TO SUCCEED:

The position requires an active Top Secret/SCI with Polygraph security clearance

The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience

The core hours are 0600 am -1530 pm, occasional overtime when warranted.

Candidate must be able to operate in a team environment as well as successfully work on their own

This position is on customer site in the McLean area

The likely hourly rate for this position is between $27.82 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
