The Department of Radiology is seeking a qualified Administrative Assistant to provide administrative support to Functional MRI laboratory (FMRI).

Candidates for this position must have the knowledge, skills, abilities and experience needed to provide highly responsible and effective administrative support in an academic setting.  Key skills include accuracy and attention to detail, the ability to problem-solve, excellent planning skills, consistent and effective follow-through on all matters, high quality writing skills and excellent customer service. The successful candidate will be working in a fast-paced environment with ever-changing priorities and must be adaptable, able to work under pressure to meet deadlines, and able to develop relationships with faculty and staff from across the college and throughout the University as needed to support a collaborative environment.

This position will functionally report to the Director of FMRI and administratively to the Radiology Research Administration Manager.

Responsibilities*

This position will include administrative duties for general office work including, but not limited to updating and formatting CV's using elements and NIH Biosketches.Recharge: Preparing monthly billing statements for FMIR recharge, uploading sub-loads and disseminating and updating monthly utilization summary.Assist in coordination of monthly FMRI speaker series and annual fall symposium.Purchasing: This may include, but is not limited to, procuring laboratory supplies via MMarketsite, internet or purchase orders. Acquiring quotes from multiple vendors and preparing non-competitive purchase awards. Working closely with faculty, staff, and grant managers to verify and assign appropriate funding sources for purchases, tracking receipts of purchases: and maintaining backup materials for reconciliation. Reconciliation: Reconciling P-card and assigned departmental accounts. This includes gathering receipts and backup materials in support of eReconciliation. Work with Finance Grants and Contracts managers to obtain, verify and analyze information for ad hoc reports, annual budgets and forecasts, as needed. Travel/Reimbursement: Assist faculty with preparation of travel; booking flights; booking hotel rooms; registration for meetings and preparation of reimbursement reports in accordance with UM and departmental policies and procedures using the concur system. Filing: Build and maintain a filing system to support the lab and faculty. This may include but is not limited to filing hard copy as well as electronic versions of grants and publications. Work with PIs to upload publications into Pub Med Central (PCMID#) and MYNCBI accounts.HR: Using Teams board to track new hires. On boarding and off boarding lab personnel as well as approving time sheets.General clerical duties: Handle incoming phone inquiries to the lab, record phone messages, maintain calendars, coordinate, and schedule meetings, take minutes in meetings, submitting facilities and HITS tickets and other support functions as required.

Required Qualifications*

Education: Bachelor's Degree in business or related field, or equivalent combination of education and experience and 2-4 years of experience. Chosen candidate will possess excellent interpersonal, verbal and written communication skills, as well as strong organizational skills. The ability to set priorities and manage multiple tasks simultaneously is critical. The candidate must have excellent computer skills including Microsoft office suite, Word, Excel, Access, PowerPoint, Adobe Acrobat and OneNote. Also, must have proven ability to work effectively and efficiently, both as a member of a team and independently. 

Desired Qualifications*

Experience in Field: 4 years or more in Research Administration is preferred. A background in science and basic understanding of the research process will be highly regarded.Experience in high-traffic, multi-constituency office management strongly desired. Experience with Elements, Concur, MPathways and UM purchasing methods strongly preferred. Experience with systems/applications: thorough understanding of Excel is required. Wolverine Access, &/or Business Objects equivalent, M-Stat and Access database strongly preferred. Experience at UM: Knowledge of University of Michigan policies and procedures is strongly preferred.
