Admin Executive Job ID 192722 Posted 07-Nov-2024 Role type Full-time Areas of Interest Facilities Management Location(s) Chennai - Tamil Nadu - India **Job Responsibilities:** + The purpose of this position is to provide business operations administrative support to a Senior Manager and/or a group of professionals with responsibility for a major organizational function/department and/or in support of a business unit. + CBRE Office Management, support to ensure efficient operation of the office. + Supports managers and employees through a variety of tasks related to organization and communication. + Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees. + Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information. + Prepares proposals, letters, memorandums, reports, agendas and forms of a complex and confidential nature. + Advanced skills with Microsoft Office Suite required.Requires in-depth knowledge of company operations, policies, and procedures. Must have a strong command of the English language and excel in the areas of spelling, grammar and punctuation. + Reviews incoming correspondence via paper or email, lead initiative to determine appropriate action required. + Leads, monitors issues for appropriate follow-up. + Organizing, arranging and coordinating meetings. + Creates and initiates correspondence and memoranda; compiles and prepares data for administrative reports and presentations. + Ensure that Site attendance reports are sent as per the timelines to Head office. + Co-coordinating with HR Team for support in arranging for interviews. + Creating Hire request & take request for new recruiters. + Collecting documents from new hiring to process the offers letter. + Seeking clarification for the staffs on HR related activities. + Preparing shift schedule for Building Managers on monthly basis. + Preparing Monthly Management Report (MMR). + Preparing Indoor Air Quality report(IAQ). + Preparing HSE block wise report & Sent to EHS Manager. + Preparing Direct & Indirect Employees Reports on monthly basis & Sent to DLF Coordinator. + Monthly & Weekly Entrapment & Breakdown report sent to client as per the timeline. + Co-coordinating & Following SIOD observation points to closure. + Supporting in all Building related reports in time. + Supporting in all Head office related reports in time + Ensure daily Biometric attendance sent to all the Department teams.
