Key Responsibilities:

 1. Project Coordination:

Manage logistics and communications for corporate-driven trainings and Technology in-person and virtual eventsCoordinate travel arrangements for attendees if necessary.Coordinate and facilitate logistics including ordering, receiving, and shipping or needed materialsMaintain databases to track nominations and participants for these events as well as supporting communication (viva engage) and documentation in S&I SharePoint & iLearnHandle purchase orders for instructors and manage the payment of invoices, with rebilling of attendee costs as necessary.Works with ESL Events on Technology and R&D events

 2. Support Technology purchases:

Execute grants and purchases via S2P.Update and maintain the database to track grant processing statuses.Complete webcycles and work through payment processes as necessary.Coordinate new vendor setup and changes to existing vendor master data.Work with leaders on approval processes in line with PO and outlook

 3. Administrative Support:

Provide comprehensive administrative support for the S&I organization and ESL leveraged teams:Manage calendars, schedule meetings, and coordinate travel arrangements (domestic and international).Draft and cascade communications to employeesSupport general activities including, maintain supplies and contracts, security & badging, catering and working with facilities on building issues.Support ongoing initiatives such as creating and sharing of dashboards through PowerBI or SharePoint

4. System Management:

Maintain and upgrade SharePoint sites for various departments.Assist with expense management systems (Concur, S2P) and ensure compliance with corporate policies.Support the planning and implementation of special projects as requested, managing communications through email distributions.Execute complex work processes across multiple systems.Optimize cost-to-serve objectives by leveraging internal resources.Perform Time Card Administration for S&I OrganizationAssist with R&D direct capital purchases in SAP

Qualifications:

 Education & Experience:

Associate or bachelor’s degree in a related field preferred.A minimum of 5 years of administrative and/or project management experience in a dynamic environment.

Technical Skills:

Advanced computer skills are required, especially in Microsoft Office 365, Power BI, Power Apps, SharePoint, and Excel. Proficiency in SAP R/3 or another ERP system.Familiarity with expense management systems (Concur, S2P), SAP and eTime is a significant plus.

Preferred Skills:

Communication Skills: Strong written and verbal communication skills, with the ability to interact effectively with all levels of the organization. Demonstrated initiative, strong organizational skills, and outstanding time management abilities.Project Management: Familiarity with project management tools and techniques. Professional demeanor with a customer service-oriented mindset.Ability to handle sensitive and confidential information with integrity.
