The University of Michigan's Center for Global Health Equity was launched by a catalytic gift from Dr. Tachi and Leslie Yamada, and was generously matched by the University. The Center brings together faculty and students from across the U-M community, leveraging expertise from multiple disciplines in pursuit of novel solutions to global health challenges that can positively impact individuals in low-income settings.

The Administrative Specialist will be the lead staff member for scheduling meetings with multiple groups of faculty, staff, students, and global partners. The meetings support the programs of the Center, including the Internal Grants programs, Challenge Groups, Community of Practice groups, Impact Scholars, Student Programs, and Scholar in Residence program. This position serves a key role in supporting the logistics of the Center?s events and main point of contact on-site during events. In addition, the Administrative Specialist will assist in the maintenance of the Center?s membership database and tracking systems with metrics of success. Responsibilities*

Scheduling meetings with multiple attendees

Schedule meetings for groups of U-M faculty, staff, and global partners for internal grants program (i.e., kickoff, midpoint, closing), which occur multiple times throughout the year based on grants timeline

With guidance from program leadership, schedule meetings for the Center?s Challenge Groups, Community of Practice groups, and Impact ScholarsAssist with scheduling meetings for student programsAssist with scheduling meetings for international visitors with U-M hosts (e.g., Scholar in Residence)

Serve as lead for logistical planning of program events and on-site contact

In collaboration with program leadership, select optimal date for event and ensure calendar invitations are sent (and updated) to all required attendees, maintain invitation lists and tracking documentsReserve venue, ensuring required set ups and necessary a/v equipment are available and orderedMake arrangements for other equipment or requirements for venue are secured (e.g., poster board easels, furniture)Draft run of show for event and finalize in collaboration with program leadershipIn consultation with program leadership, determine catering needs, place catering orders, and serve as main point of contact for caterer during eventPrepare pertinent hosting expense reportsServe as on-site event lead for logistics, troubleshooting problems as they arise and working with program leadership to ensure program stays on track in terms of run of show and timeline

Support Center Membership and Tracking Systems

Assist with maintaining Center?s membership database, including coordinating annual process for membership review and renewalAssist with creating member profilesMaintain systems to track program metrics of activity and success (e.g., internal grants program)Assist with distribution of annual Impact Report

Additional Responsibilities

If/as needed, willingness to engage in a flexible work schedule to attend early morning meetings and/or late meetings and eventsOther responsibilities and/or projects as assigned

Work Schedule

This position is eligible for flexible (i.e., hybrid) work arrangements. Flexible work agreements are reviewed annually and are subject to change based on the business needs of the hiring department, throughout the course of employment. In addition to the regular in office workdays/hours, there will be additional times, some early morning and/or evening hours that require working on-site for events. The Center's offices are located on north campus in NCRC Building 100.

The salary for this position will be based upon the selected candidate's education and experience.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third-party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
