For our expanding Warsaw-based CMG (Capital Market Group) business line we are looking for you as Administration Analyst.
What this job involves:
Provide administrative support to the team, including calendar management, travel coordination, and expense trackingAssist with project coordination by creating and maintaining project schedules, tracking progress, and ensuring timely completionMaintain effective communication channels within the team, including organizing team meetings, preparing agendas, and documenting meeting minutesCoordinate and manage internal and external communications, including email correspondence, phone calls, and incoming inquiriesAssist with creating and updating project and client documentation, ensuring accuracy and completeness.Process C2B requests in a prompt and efficient manner ensuring that there is no month-end rush to complete invoicing. Eg. contracts are set up and approved in readiness for billingPrompt data update to CRM (Salesforce/Capforce) systemRespond to performance reports for business line and update/complete assignment, company and contact records by following data standards guidelines and protocolsCollaborate with team members to ensure smooth workflow and efficient operations.Provide ad-hoc support to team members as neededDesired skills and experience for this job
Good French - native levelGood knowledge of English - B2 minimumHigh school diploma or equivalent, with relevant administrative or business-related certifications preferred.Proven experience as an administrative or team assistant, preferably in a fast-paced professional environmentExcellent organization and time management skills, with the ability to prioritize and multitask effectivelyStrong attention to detail and accuracy, with a commitment to maintaining high-quality workProficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Nitro) and other relevant softwareExceptional interpersonal and communication skills, both written and verbalAbility to work at a fast pace, large team with energy and enthusiasmAbility to work independently and collaboratively, demonstrating a proactive and positive attitudeStrong problem-solving abilities and the willingness to take initiativeKnowledge of the commercial real estate industry is a plusIf you are interested in this offer, please share your CV in English
