Job DescriptionThe Team and Job Summary
We are seeking an detail-oriented and efficient Administrative Assistant to join our Charlotte, NC vehicle accident reconstruction team. This is a unique opportunity for an entrepreneurial, highly driven person with a well-rounded skill set to join the J.S. Held team, whose responsibilities extend beyond those of traditional Administrative Assistants. The ideal person for this role will need to not only have a strong grasp of the administration of the office (client relationships, supplies and vendors’ management, invoicing support, document management, etc.), but also be flexible and a strategic thinker able to take on a variety of tasks.
Job Responsibilities
Support engineering staff in managing client relationships, coordinating inspections and meetings, managing project tasks, and responding to client requestsCalendar management - coordinate availability of staff and equipment for meetings, inspections, and teleconferencesSupport in travel preparations and expense reports Support in invoicing, follow-up of A/R, and time-keeping processesFile Management - receive documents from clients and assign tasks to engineersNew project intake - coordinate conflict checks, gather key information, set up new projects, and assign tasks to team membersSupport in preparing presentations for clients, coordinating marketing events, etc.Support in responding to client requests and requesting info from clientsLiaison with J.S. Held officesGeneral assistance to employees: new hire on-boarding, etc.QualificationsRequired Qualifications
College degree preferredParalegal experience preferredPrevious experience in office administration or other related fieldsProficiency in Microsoft Office Suite, with advanced Excel skills and the ability to embrace new technologyStrong project management and organizational skillsSuperior written and verbal communication skillsStrong attention to detail and accuracy in all aspects of workAbility to prioritize and multitaskStrong analytical and problem-solving abilitiesAbility to manage multiple priorities and meet deadlines in a fast-paced environmentFamiliarity with organizational policies and regulationsDemonstratable job stabilityPhysical and Mental Job Qualifications
Ability to travel as needed, depending on project assignments.Ability to maneuver in and around an accident site. Ability to lift up to 50 lbs. Ability to drive to site locations.
